Job summary

An established firm in Kulai, Malaysia is seeking a Personal Assistant to manage the CEO's calendar, assist in HR operations, and coordinate various tasks. The ideal candidate should have a Diploma or Degree in Business Administration, fluent in Mandarin and English, and possess 3–5 years of relevant experience. Job description
Responsibilities

Manage and maintain the CEO’s daily calendar, appointments, and travel itineraries.

Organize meetings, prepare meeting materials, record minutes, and follow up on action items.

Handle confidential correspondence, documents, and filing on behalf of the CEO.

Coordinate logistics and communication for business trips, events, and site visits.

Provide general personal assistance, including errands, documentation, and travel arrangements.

Drive the CEO between Singapore and Malaysia (Johor / factory site) safely, punctually, and professionally.

Ensure the company car is well‑maintained, cleaned, and serviced regularly, with up‑to‑date road tax, insurance, and permits.

Human Resources Support

Assist in day‑to‑day HR operations, including recruitment, onboarding, attendance, leave, and employee records management.

Prepare employment letters, contracts, and HR‑related documentation.

Support payroll processing and HR reporting.

Coordinate employee activities, training programs, and engagement initiatives.

Ensure compliance with Malaysian employment laws and company HR policies.

Liaise with relevant authorities and external service providers (e.g., EPF, SOCSO, HRDF, MOM).

Requirements

Diploma or Degree in Business Administration, Human Resources, or related field.

Minimum 3–5 years of experience as a Personal Assistant or HR Executive, preferably supporting senior management.

Fluent in Mandarin and English to effectively communicate with our diverse client base and stakeholders (both spoken and written).

Possess a valid driving license.

Familiar with using Info-Tech HRMS.

Strong interpersonal, communication, and organizational skills.

High level of professionalism, discretion, and confidentiality.

Proficient in Microsoft Office (Word, Excel, PowerPoint).
