Job summary

The Flexi Group is seeking an HR Executive to support the People team with onboarding, payroll, records, and employee queries across markets including Malaysia, Singapore and the Philippines.

You will help drive engagement, culture initiatives, recruitment processes, onboarding experiences, and learning programs, while staying current with employment law in supported markets.

Qualifications

  • Highly organised and able to multitask across functions.
  • Thrives under pressure and is solution-oriented.
  • Experience in administration is a plus, fresh graduates considered.
  • Knowledge of Employment Law for markets supported.
  • Strong communication skills (verbal & written).
  • HR or related degree is advantageous.

Responsibilities

A DAY IN THE LIFE OF

We are seeking a highly motivated and people-oriented individual to join the team as an HR Executive. This role is critical within the business to ensure that our team members feel supported, engaged and connected within the community at The Flexi Group.

You will work closely with and support the People team with all administration across various functions of human resources, with a key focus on onboarding, team files, team reviews, and opportunities to be involved with corporate social responsibility team engagement activities.

As a culture carrier and ambassador for our brand and people, we are looking for someone with a strong work ethic, highly organised and career-focused to grow and take the opportunities presented to them that will occur with our growing organisation.

HR ADMINISTRATION AND PAYROLL
  • Take direction and carry out day-to-day operations and duties of the People team
  • Accurately update and maintain team records and files
  • Take direction from the Senior People Team and communicate and process all promotions, demotions, resignations, terminations and exit interviews alongside direct managers and the People team
  • Assist the team with processing payroll calculations and statutory contributions on a monthly basis for Malaysia, Singapore and Philippines.
  • Support with accurately processing team expense claims following the payroll deadlines.
  • Assist with ensuring important and confidential documents are physically taken to governing bodies and offices when required, e.g. tax documents to the tax office.
  • Support with employee queries and requests and ensure questions are answered promptly.
  • Support with updating the Team Handbook with policies and procedures as and when required
  • Support with the roll-out of company updates
  • Stay up to date with employment law in the countries you are supporting and take direction from the senior team.
  • Communicate insurance policy details to team members upon passing probation
ENGAGEMENT AND TEAM CULTURE
  • Be part of coming up with ideas and organising Flexi Group activities and work events to engage the team and boost morale, ensuring all company events are communicated effectively.
  • Take part in country meetings to ensure you have a finger on the pulse of the team and business
  • Build relationships with team members, take action with every conversation and elevate any issues that may impact the team; bring attention to the management team when recognition or specific conversations are required, etc
  • Assist with communicating bi-annual performance reviews
  • Be a culture carrier, ensuring the team values are adhered to and behaving as a benchmark for others across the company.
  • Support and drive internal communication such as leading the internal newsletter, LinkedIn post ideas, etc.
RECRUITMENT, SELECTION AND ONBOARDING
  • Taking direction from the Senior People team to post job advertisements on relevant platforms.
  • Coordinate interviews with hiring managers and pass on relevant feedback effectively
  • Support with the hiring approval and sign-off process
  • Communicate with candidates regarding the recruitment journey to ensure The Flexi Group's core values are represented from the start to the end of the recruitment process.
  • Coordinate the onboarding process, complete relevant paperwork, and deliver a positive, supportive, and exciting experience for candidates based on the direction given by the Senior People team.
LEARNING AND DEVELOPMENT
  • Coordinate training programmes with team members.
  • Track and maintain all team members' training records to ensure each team member receives and attends the required training.
  • Assist with processing HRDC training claims and monitoring the budget.
  • Search for appropriate group-level training
Requirements
  • Exceptionally organised with the ability to multitask
  • Thrives under pressure and is solution-oriented
  • Preferred candidates will have previous work experience in administration, although individuals with non-related experience or recent school leavers will also be considered
  • Basic knowledge of Employment Law for the markets you would be working in
  • Personable with strong verbal and written communication; good listener and ability to build relationships
  • A university degree in HR or related fields is an advantage
  • Proficient in Google Suite and ability to utilise AI (Gemini) to support work
  • Accountable and enjoys fast-paced working environments.
  • Prior experience in coworking, real estate, or startup business would be an advantage.
  • Fluent in English
