Head of Medical Operations & Professional Standards

The Head of Medical Operations & Professional Standards is responsible for ensuring professional conduct, discipline, operational compliance, and smooth coordination among doctors across Eva Emily Clinics.

This role serves as the primary authority and escalation point for doctors, ensuring clinic standards are upheld while maintaining a respectful, firm, and professional working environment.

Responsibilities

Doctor Governance & Professional Conduct

  • Enforce professional standards, workplace discipline, and expected conduct among doctors
  • Address issues related to professionalism, attendance, communication, and behaviour
  • Handle complaints, conflicts, and misconduct involving doctors in a calm, firm, and structured manner
  • Ensure doctors adhere to agreed schedules, clinic hours, and operational requirements
  • Act as the official escalation point for doctor-related issues (not HR)

Medical Operations & Compliance

  • Oversee day-to-day doctor operations across all clinic branches
  • Ensure clinics are adequately staffed according to schedule
  • Prevent operational disruptions caused by unplanned absences or conflicts
  • Work with clinic managers to resolve scheduling and coverage issues
  • Support implementation of operational rules related to doctors’ duties

Communication & Boundary Management

  • Serve as the main communication bridge between doctors and management
  • Ensure concerns are raised through proper channels (not group chats or informal gossip)
  • Set clear boundaries regarding acceptable communication and escalation
  • De-escalate emotionally charged situations professionally and decisively

Policy Implementation (Doctors)

  • Assist management in implementing and enforcing
  • Attendance and duty expectations
  • Leave and emergency protocols
  • Communication and escalation guidelines
  • Ensure doctors clearly understand expectations and consequences
  • Support disciplinary processes when required (verbal warning, written warning, review meetings)

Supportive Leadership (Firm but Human)

  • Balance firmness with empathy, especially for doctors with family responsibilities
  • Listen without over-accommodating
  • Provide guidance without emotional negotiation
  • Maintain fairness and consistency across all doctors
Experience
  • Minimum 5–8 years experience in one or more of the following:
  • HR handling professionals (doctors, lawyers, engineers)
  • Hospital / clinic operations management
  • Corporate HR in regulated environments
  • Military, disciplined, or structured organisations (advantage)
  • Clear and respectful communication
  • Not easily emotionally manipulated
  • Values professionalism, amanah, and accountability
Reporting Structure
  • Reports directly to: Founder / Management
  • Works closely with: Accounts (attendance / payroll alignment)
