A leading financial institution in Shah Alam is seeking an Operations Analyst to ensure efficient coin operations, inventory management, and process improvements. The role requires a Bachelor's degree and preferably over 3 years of experience in related fields. Candidates will oversee coin processing, manage consumables, and implement best practices to enhance operational efficiency. The Operations Analyst of COIN is responsible to ensure optimal efficiency and cost‑effective operations, execute and monitor day‑to‑day activities related to coin operations, inventory management, and mutilated coin processing in accordance with established procedures and best practices.
1. MyMint Operation Control Room (OCR): Execute the daily operation of My Mint Operation Control Room (OCR) by effectively monitoring and processing coin deposit and withdrawal requests from Cash‑in‑Transit (CIT) companies and regional cash offices (RCO) via the Advanced Currency Enterprise System (ACES) and the Warehouse Management System (WMS). Monitor movements in and out of the Automated Storage Retrieval System (ASRS) to support operations. Supervise activities at the loading bays to ensure safety and security procedures. Conduct regular audits and stock checks for quarantine coins, blanks, and rejected coins at the Work in Progress (WIP) rack and ASRS.
2. Coin Inventory Management: Perform the safekeeping and documentation of coin inventory. Analyze finished coin stock positions, withdrawals, deposit trends, and prepare comprehensive reports for submission to management. Plan and conduct regular stock verifications and coordinate the disposal of mutilated coins, all in compliance with established policies and procedures.
3. Consumable Planning, Budgeting and Procurement: Ensure uninterrupted operations, plan, execute, monitor the ordering, storing, distribution, and tracking of consumable inventory using the Warehouse Management System (WMS). Maintaining and managing data integrity for consumables, tools, and parts via their creation, revision, and deletion within the system. Periodically perform an operational cost analysis and reports for management review. Ensure optimal availability and competitive sourcing, coordinate and prepare the budget for the COIM Section following established procedures. Develop specifications and business requirements for goods and services related to operation control room activities.
4. Mutilated Operations: Monitor and validate the receiving, inspection, and documentation of mutilated coins, coordinating with production and inventory teams for processing. Ensure security and regulatory compliance while managing the proper disposal or recycling of coins. Oversee payment processes and compile detailed daily reports for management review and approval.
5. Process Improvement, Staff Development, and Administrative Oversight: Identifying and implementing potential process improvements to ensure cost‑effective operations while ensuring a safe, conducive working environment in accordance with OSHA regulations and best practices. Collaborate with the risk management team for BCP simulation activities and other relevant units for review of SOPs, policies, and guidelines to reflect changes in business operations and needs periodically. Manage staff development by providing training for staff with the latest technology and best practice. Serve as the Custodian for contingency finished coin stock, following established policies and procedures. Maintain data and records in line with established procedures and governance. Undertake additional duties as assigned by the Supervisor and/or Manager to ensure seamless operations and maintain a responsive and adaptable work approach.
