FINANCE & HR EXECUTIVE

Job Description : Finance & HR Executive

Department : Finance & HR Department

Reports To : HOD Finance & HR

About the Role

We are seeking a dedicated and independent Finance & HR Executive to join our team. This role is ideal for someone who is proactive, detail-oriented, and passionate about ensuring smooth daily operations in both Finance and HR. You will work closely with the HOD to ensure all Financial records and HR processes are accurate, timely, and well-organized.

Key Responsibilities
Finance
  • Handle Accounts Payable (AP) and Accounts Receivable (AR), ensuring all transactions are recorded accurately and on time.
  • Perform monthly bank reconciliation and ensure financial records are always up to date.
  • Monitor outstanding invoices and follow up on Statement of Account (SOA) with clients to ensure timely collection and accurate reconciliation.
  • Prepare payment vouchers, journal entries, and support month-end closing activities.
  • Assist in preparing financial and management reports for review.
  • Maintain organized filing of finance documents and payment records for easy reference.
Human Resources
  • Assist in onboarding new staff, ensuring all HR documentation and processes are completed efficiently.
  • Maintain and update staff records, attendance, and leave information.
  • Support payroll preparation with accurate data on claims, allowances, and deductions.
  • Handle staff claims and reimbursements (meals, mileage, site allowance, etc.) with proper tagging and documentation.
  • Assist in staff welfare matters such as training, benefits, and internal HR communications.
Administrative Support
  • Manage incoming and outgoing correspondence related to finance and HR.
  • Ensure proper filing (digital & hardcopy) for all financial and HR documents.
  • Provide day-to-day support to the HOD for any ad-hoc tasks or internal coordination.
Requirements
  • Diploma or Bachelor’s Degree in Accounting, Finance, Human Resources, or equivalent.
  • Minimum 2–4 years of working experience in Finance or HR roles.
  • Strong multitasking ability and capable of working independently with minimal supervision.
  • Good knowledge of accounting systems, Excel, and statutory submissions (EPF, SOCSO, EIS, PCB, HRDF).
  • Excellent attention to detail, time management, and problem-solving skills.
  • Positive attitude, responsible, and eager to grow with the company.
  • Self-motivated with strong initiative to take ownership of assigned tasks.
  • Preferably female candidate.
Personal Characteristics
  • Detailed, well-organized, and meticulous in work.
  • Proficient in Microsoft Excel and Office applications.
  • Familiarity with bookkeeping and basic accounting procedures.
  • Good communication skills and strong problem-solving ability.
