Job Description – Facilities Coordinator

Facilities Executive duties and responsibilities include oversee cleaning, landscape, pest control, waste disposal, handyman, events management and work closely with the client.

The role will oversee the facility’s day-to-day operations and ensure that all administrative functions, soft services issues and facility services are covered. Including continuous improvement in the operational process. Also, part of the role’s mandate is to monitor the facilities infrastructure, vendor’s performance and processes comply with standards. Report to the Facilities Manager.

Responsibilities
  • Oversee in-house maintenance team for all daily maintenance issues and conduct daily inspection to ensure quality standards are being maintained.
  • Monitor submission of service partners’ daily inspection and periodic service reports.
  • Oversee the planning and executing of the waste, pest control, cleaning and landscaping.
  • Review service partners’ deployment and duties to optimal use of manpower.
  • Regular inspection for conformance to service standards and expectation of cleanliness, waste management etc.
  • Identify, collate and report any building defects.
  • Monitor the service partners’ schedule and ensure that they carry out their duties accordingly.
  • Coordinate with the vendors for their plan training program for cleaners, landscapers and pest control.
  • Coordinate and support events from set up requirements to logistical support including AV set-up, liaise with onsite support team on layout etc.
  • Facilities coordinator act as per permit holder.
  • Other ad-hoc duties as assigned.
Requirements
  • Fit to work at Terminal environment where required to pass the Fitness to work assessment.
  • Minimum Diploma in Electrical or Mechanical Engineering, Facilities Management, or an equivalent field of study required.
  • Able to handle large numbers out outsourced workers.
  • Customer-oriented.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Able to work under pressure and meet tight deadline.
  • A positive attitude and a good team-player with good interpersonal and supervisory skills.
  • Willing to work beyond scheduled working hours in response to site operational needs.
