A leading sales organization is looking for an Executive for Sales Administration in Malacca City, Malaysia. The role involves managing administrative tasks, preparing documentation, and coordinating communication to ensure smooth sales operations. Candidates should hold a Bachelor’s Degree in Sales or Business Administration and have at least 2 years of sales experience. Strong interpersonal and organizational skills are essential, along with fluency in English and Bahasa Malaysia. Flexibility in working hours is offered, and familiarity with the IFCA system is advantageous.
The Executive, Sales Administration is responsible for supporting the sales team by managing administrative tasks, preparing documentation, coordinating communication, and ensuring smooth day‑to‑day operations to drive overall sales efficiency.
Responsible for sales administration processes and performance by ensuring that documentation and records are properly organized and comply with procedures and policies related to credit control, sub‑sales, financing, loan documentation and vacant possession.
Focus on purchaser’s SPA signing dates, loan application status and operational matters within the sales environment and ensure delivery of functional services.
Attend to calls and enquiries from purchasers, end‑financier, solicitors and intra‑department for co‑ordination.
To generate billings within stipulated timeframe upon receipt of architect’s certificates.
To follow up with lawyers/purchasers/banks on status of loan doc for timely collection.
To send reminders after billings are due for payment.
Maintain an up to‑date aging reports and reconciliation report for receivables balances.
To generate and send interest on late payment and miscellaneous billings, if any, together with statement accounts quarterly.
Responsible to key in daily transaction into IFCA system and generate receipts.
To check loan documents and memorandum of transfer before sending to management for execution.
Participate during weekend official launch events when required.

Bachelor's Degree in Sales, Business Administration or a related field.
Minimum 2 years of experience in sales.
Team player with the ability to work independently with minimal supervision.
Strong interpersonal, communication, and organizational skills.
Fluent in English and Bahasa Malaysia.
Focused, self‑motivated, and independent.
Experience in managing IFCA system is an added advantage
