A leading recruitment agency is seeking an Executive Personal Assistant to support the Director in Kuala Lumpur. This role is pivotal, providing comprehensive administrative support, including managing the Director's schedule, organizing meetings, and facilitating communication with stakeholders. The ideal candidate will have 3-5 years of experience supporting senior management and must be fully proficient in both Mandarin and English, demonstrating exceptional organizational and communication skills in a fast-paced environment.
We are seeking a highly capable, proactive, and discreet Executive Personal Assistant to provide comprehensive support to our Director. This is a pivotal role that serves as the right hand to senior leadership, operating in a dynamic and fast‑paced environment. The ideal candidate will be a strategic partner, enabling the Director’s effectiveness through exceptional organizational and communication skills. This position offers significant exposure to core business operations and strategic projects.
Key Responsibilities:
Executive Support: Provide full administrative support including complex diary and email management, scheduling meetings, coordinating extensive travel itineraries, and preparing expense reports.
Communication Hub: Act as the primary point of contact between the Director and internal/external stakeholders, including clients, board members, and international partners. Handle confidential information with utmost discretion.
Meeting & Project Coordination: Organise and prepare for executive meetings, board meetings, and client engagements. This includes agenda creation, minute‑taking, and ensuring follow‑up on action items. Provide light project coordination support for key initiatives.
Documentation & Presentation: Draft, format, and proofread high‑quality business correspondence, reports, presentations, and proposals. Ensure all materials are accurate and professionally presented.
Strategic Administration: Anticipate needs, identify priorities, and solve problems independently to ensure the Director’s time is focused on critical strategic matters.
Requirements:
Bachelor’s degree in Business Administration, Communications, or a related field.
Minimum of 3-5 years of proven experience as an Executive Personal Assistant supporting C‑level/Senior Director‑level management.
FULL PROFICIENCY in both Mandarin and English (written and spoken) is MANDATORY. The role requires professional business‑level communication, translation, and correspondence in both languages.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Exceptional organisational, time‑management, and multi‑tasking skills with a keen eye for detail.
