Job summary

A leading logistics firm in Malaysia is looking for an Executive (Operational Finance) to support financial operations. The role involves managing airfreight billing processes, issuing invoices, and ensuring accurate communication with internal and external stakeholders. Ideal candidates should have at least a year of experience in operations within the freight forwarding or logistics industry, as well as strong organizational skills and attention to detail. This position is crucial for maintaining operational efficiency and accuracy in billing processes.

Qualifications

  • 1 year prior experience in operations, admin, or related role, preferably in Freight Forwarding, Logistics and/or transportation related industry.

Responsibilities

  • Access and monitor the airfreight email account to handle all relevant communications.
  • Receive and review quotation requests from Airfreight CS/Sales Support/Coloading.
  • Send sales requests to carriers for rate quotations.
  • Issue invoices to clients.
  • Manage booking requests and confirmations.
  • Process the return of Air Waybills (AWBs) for billing purposes.
  • Receive and process the daily billings list for timely and accurate billing.

Executive (Operational Finance)

The Executive (Operational Finance) supports the coordination and execution of finance-related operational activities, focusing on Airfreight billing processes, carrier cost management, and communication with internal and external stakeholders.

Key Responsibilities
  • Access and monitor the airfreight email account to handle all relevant communications.
  • Receive and review quotation requests from Airfreight CS / Sales Support / Coloading.
  • Send sales requests to carriers for rate quotations.
  • Issue invoices to clients.
  • Manage booking requests and confirmations.
  • Process the return of Air Waybills (AWBs) for billing purposes.
  • Receive and process the daily billings list (Excel) from the Sales Support Team for timely and accurate billing.
  • Retrieve and verify carrier costs using SharePoint for most airlines (e.g., SQ, HO, 3U, CZ, CX, EK, VN). For other carriers (e.g., NH, QR, AFKLM, LH, TK, BA), obtain cost information as indicated during booking confirmations.
System Access and Data Management

Maintain access to SharePoint for up-to-date airline cost data and ensure accurate record-keeping for all transactions.

Ideal Candidate

Education: SPM, diploma or equivalent.

Experience: 1 year prior experience in operations, admin, or related role, preferably in Freight Forwarding, Logistics and/or transportation related industry.

Competences: Good organizational and communication skills, with the ability to manage multiple tasks and stakeholders; basic computer skills; attention to detail and a proactive approach to resolving discrepancies in billing and cost data; professional email communication and good documentation skills; ability to maintain sustained focus while processing multiple emails and files to ensure accurate billing and cost charge.

Communication: Excellent communication skills with the ability to liaise effectively with colleagues across all levels at EV Cargo and work effectively in a team environment.
