The Executive Officer provides comprehensive, high-level administrative and operational support to the Deputy Group Executive Chairman (DGEC). This role requires exceptional organisational, communication, and interpersonal skills to ensure the seamless execution of all executive activities. The Executive Officer manages a confidential one‑on‑one working relationship with the DGEC, supports strategic priorities, and serves as the primary liaison between the DGEC’s Office and internal departments, business associates, partners, and external stakeholders.
Key Responsibilities
- Assist in monitoring strategic initiatives and follow up with relevant teams on progress and outcomes.
- Provide regular updates and highlight issues to the DGEC on the tasks assigned.
- Advise the DGEC on impending work deadlines for both internal and external commitments.
- Conduct research, consolidate information, and prepare executive summaries when required.
- Provide administrative oversight on matters that require the DGEC’s attention.
- Ensure the smooth functioning of the DGEC Office, including workflow, documentation, and communication flow.
- Handle and prepare confidential correspondence, reports, presentations, and briefing materials.
- Track deadlines, commitments, and deliverables to ensure timely completion.
- Serve as the central point of contact between the DGEC and internal teams, senior management, external partners, and business associates.
- Manage incoming communication (emails, calls, enquiries) and respond on behalf of the DGEC when appropriate.
- Draft, proofread, and prepare official letters, memos, announcements, and communication materials.
- Maintain strong professional relationships with stakeholders to support effective collaboration.
- Coordinate with departments for approvals, submissions, financial requests, and operational matters.
Required Qualifications
- Bachelor’s Degree in Business Administration, Management, Office Administration, or related field.
- Minimum 5–8 years of experience supporting senior executives or C‑suite leaders and/or involved in operation, business development and other business‑related activities.
- Strong command of English and Bahasa Malaysia; excellent written communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Exceptional organisational and time‑management skills.
- High level of discretion, professionalism, and confidentiality.
- Strong interpersonal skills with the ability to interact with senior stakeholders.
- Excellent judgment, problem‑solving, and decision‑making abilities.
- Able to work under pressure, handle multiple priorities, and meet tight deadlines.
