Job summary

A reputable educational institution in Malaysia is seeking a Finance & Administrative Executive. The role involves managing financial transactions, billing, and maintaining records to ensure accurate collections. Candidates should ideally have a degree in Accounting or Finance and at least 3-5 years of experience in a similar position. Executive, Finance & Administrative (JANUARY 2026)

The Finance & Administrative Executive generates revenue for school by ensuring that collection from customer are properly update and recorded in the accounting system. The position is to ensure that the correct amounts are collected promptly, verify and record transactions, resolve account discrepancies, and perform other tasks to secure customers' payments.

Roles and responsibilities
  • Generating Journal Entries for all the collections from students (inclusive of school fees)
  • Generating Billings for ECA, student trips in Vircle during the terms.
  • Generating Journal Entries for all the refund for students and related parties (inclusive of overpayment of fees, refund of deposits, and other related refund which is relevant as per instruction given)
  • Oversee the daily collection from front desk and follow-up on any pending update from front-desk.
  • Monitoring the daily collection by matching the collection report from system with the merchant/ bank statements.
  • Attending customers’ inquiries on billings, receiving, and outstanding debts.
  • Oversee the daily collection and follow-up on outstanding debts.
  • During the absence of another Finance Receivable Executive, will be responsible for calculating the prorated tuition fee for students who joined in the middle of the term or withdraw in the middle of the term.
  • During the absence of another Finance Receivable Executive, will take charge of the refunding for Graduate students- Secondary 5, Year 11, and Year 13, and other mid-term withdrawal.
  • Ensure proper filing of documents for maintenance, retrieval, and archiving.
  • Recommend any possible improvement or effective control in the management reporting system and various accounting related receivables procedure.
  • Liaise with auditors, tax agents, bankers, company secretaries, authority, and various internal/external stakeholders as and when necessary.
  • Perform any other duties assigned by Management from time to time i.e. administration & project related matters.
Criteria Qualities
Qualifications :

Possess at least a professional degree in Accounting/ Finance, ACCA, CIMA or equivalent.

Experience

Experience in the Education industry is recommended.

  • Experience in NetSuite accounting software and Engage Campus Management System will be highly appreciated.
  • Minimum 3-5 years working experience in a similar role.
Skills and Knowledge

Knowledge of Tax and Auditing will be highly regarded. Proficient in Microsoft especially Excel. Understanding of school finances and financial management. Effective communication and interpersonal skills. Ability to communicate a vision and inspire others . Ability to build effective working relationships. Staff and financial budgeting and review
