  • Monitor renewal timelines and prepare renewal notices.
  • Track utilities applications and payments for outlets.
  • Coordinate with departments to ensure timely project delivery.
  • Handle inter-department liaisons regarding payments and licenses.
  • Liaise with local authorities and developers as needed.
  • Assist in analyzing outlet sales and performance.
  • Prepare monthly reports for department progress.
  • Organize and maintain Master File and documents.
  • Perform other duties as assigned.
Job description

Responsibilities:

  • Contract Management: Prepare, review, and summarize tenancy agreements for retail outlets, ensuring accuracy and adherence to company policies and legal requirements.
  • Monitor the renewal timeline as stipulated in the agreement, summarize the yearly renewal report, and prepare and serve renewal notice to the landlord on time.
  • Utilities application: Monitor and track utilities applications and payments for all retail outlets, ensuring timely collection and accurate record-keeping. Coordinate with tenants and the finance department to address any payment issues or concerns promptly.
  • Project Management: Work closely with Business Development, Design & Build, Operations, Marketing and Finance to ensure projects or new outlets are delivered in a timely and effective manner.
  • Business operation support: Handle inter‑department liaisons for matters pertaining to the collection of deposits, outstanding payments, business license, insurance, and operations related matters, including but not limited to pest control, fire extinguisher and credit card terminal implementation.
  • Liaison with local authorities, developers or landlords, architects, and consultants as necessary.
  • Assist in analyzing and monitoring outlet sales and overall performance.
  • Assist BDA Manager and AM in developing the efficiency and effectiveness of all team members. Prepare monthly reports of BDA department progress and achievements.
  • Assist in organizing and tidying the Master File and hard‑copy documents, filing with accurate and relevant information.
  • Perform any other duties as assigned by superior or management to meet organizational needs.
