Job Summary

We are seeking a proactive and detail-oriented Executive Assistant to support our HOD. This role requires strong organizational skills, excellent communication abilities, and the capacity to represent the HOD in meetings, manage key documentation, and coordinate cross-functional logistics activities.

Key Responsibilities

  • Represent the HOD in internal and external meetings.
  • Record and produce accurate, concise meeting minutes highlighting key decisions and action points.
  • Summarize meeting discussions and prepare briefing notes for the HOD to facilitate timely decision-making.
  • Support day-to-day supply chain and logistics operations through effective documentation, reporting, and coordination.
  • Assist in preparing reports, presentations, and official correspondence on behalf of the HOD.
  • Act as a liaison between the HOD and other departments, vendors, and external stakeholders.
  • Manage confidential and sensitive information with discretion and professionalism.
  • Coordinate calendars, appointments, and follow-ups to ensure smooth operational workflows.

Required Qualifications & Experience

  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field.
  • 3 to 5 years of experience in executive assistance, operations support, or logistics coordination.
  • Fluent in Mandarin and English (both spoken and written) – essential for effective communication and documentation.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Strong organizational and multitasking abilities, with the capacity to manage competing priorities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with documentation tools.
  • Ability to work independently, maintain confidentiality, and exercise good judgment.
  • Experience in supply chain or logistics operations is highly preferred.
