We are looking for a mature, reliable, and patient Personal Secretary to assist the CEO with daily administrative and personal tasks. The ideal candidate will be someone with a secretarial work background or good administration experience, who is comfortable handling basic office tasks, printing documents, and providing support in a respectful and attentive manner.
Key Responsibilities
- Provide day-to-day secretarial and administrative support to the Advisor and CEO.
- Provide comprehensive admin support including typing, filing, record‑keeping, and preparing documents related to correspondent banking, secretarial matters, and other admin functions as required.
- Manage the Director’s calendar and schedule appointments, meetings, including drafting and proofreading correspondence, tracking coordination, following up on tasks, project tracking, preparing slide presentations, reports, and travel arrangements.
- Liaise with internal teams and external stakeholders on behalf of the Director.
- Accompany or assist during internal meetings or personal errands if needed.
- Handle phone calls and take messages clearly and accurately.
- Offer support in using mid‑level technology (email, printer, Microsoft Office, ChatGPT, phone apps, AI‑note, etc.).
- Maintain confidentiality and show discretion in all tasks.
- Assist with any ad‑hoc tasks as assigned.
Requirements
- A degree qualification is preferred.
- Prior experience as a Secretary, Personal Assistant, or Administrative Executive.
- 8 years and above experience.
- Excellent communication and interpersonal skills, with the ability to engage effectively with individuals at all levels.
- Strong organizational and time‑management skills, with the ability to prioritize tasks, manage multiple responsibilities efficiently, and consistently perform under pressure with initiative, self‑motivation, and discipline.
- Maintains a high level of integrity, discretion, and confidentiality in handling sensitive information.
- Proactive, adaptable, and capable of working independently with minimal supervision.
- Proficient in English/Bahasa Malaysia, both written and spoken.
- Basic computer literacy, including Microsoft Office applications, email, and document printing.
