The Executive Assistant serves as a key right-hand to the General Manager managing schedules, meetings, and communications while driving follow-ups and ensuring smooth execution of strategic priorities. This role offers close exposure to decision-making and business operations, ideal for someone proactive, organized, and eager to grow alongside senior leadership.
Key Responsibilities
- Assist the GM in managing daily office operations, including drafting documents, data organization, and scheduling.
- Plan and manage the GM’s calendar, meetings, business trips, and ensure all preparatory materials are ready in advance.
- Participate in core management meetings, take and compile minutes, and track action items to ensure resolutions are implemented.
- Facilitate communication and collaboration across departments to solve operational challenges.
- Support project execution and ensure alignment with company goals.
- Maintain internal and external relationships on behalf of the GM.
- Convey important information and ensure smooth communication channels with key stakeholders.
- Manage confidential company documents, contracts, and records to ensure integrity and security.
- Support the GM on special projects, business analysis, and strategic initiatives.
- Assist in market research, competitor analysis, and business planning as required.
Job Qualifications
- Education & Experience: Bachelor’s degree or above, with at least 4 years of experience in assistant or related management roles; candidates with experience in listed companies, large enterprises, or in building sales teams and developing markets are preferred.
- Language & Communication Skills: Proficient in Chinese, English, and Malay (speaking, reading, and writing).
- Operational Skills & Tools: Skilled in Microsoft Office suite (Word, Excel, PowerPoint) and common office equipment, with basic data analysis capabilities.
- Mobility & Travel: Valid driving proficiency with knowledge of Malaysian road conditions and willingness to undertake international business trips.
- Industry Experience (Bonus): Experience in construction, building materials, civil, or petrochemical industries.
