  • Coordinate and track incoming shipments by preparing shipment documents.
  • Review and submit purchase orders to brand partners.
  • Proactively communicate with the Commercial Team regarding PO issuance.
  • Work closely with 3PL warehouse teams to ensure timely GR completion.
  • Manage inbound discrepancies and highlight shortages or damages.
  • Manage return of expiry and damaged items.
  • Ensure tax invoices are posted correctly.
  • Assist with inter-company shipments across SEA.

Key Responsibilities
  • Coordinate and track incoming shipments by preparing shipment arrival notification documents (pre‑alert & SAP inbound notification) for MY local shipments.
  • Review and submit purchase orders to brand partners; act as the key contact for scheduling shipments or any shipment‑related issues.
  • Proactively communicate with the Commercial Team regarding PO issuance, article creation, PLC updates and any report or stock inquiry updates.
  • Work closely with 3PL warehouse teams to ensure GR completion on time and manage any issues with shipment arrival with assistance from the warehouse logistic executive.
  • Manage inbound discrepancies and highlight shortages or damage to brand partners.
  • Manage return of expiry and damage items to brand partners according to the cut‑off timeline.
  • Ensure tax invoices and credit notes are posted in accordance with purchase or return orders.
  • Assist with inter‑company shipments across SEA regional LUXASIA and LEAP Commerce companies.
Skills Required
  • Proficiency in SAP and strong Microsoft Excel skills.
  • Excellent written and verbal communication skills, with the proven ability to represent LUXASIA in external meetings.
  • Strong problem‑solving skills and the ability to effectively address issues in collaboration with teams.
  • Ability to handle multiple concurrent demands and prioritize responsibilities.
