Job Purpose
You play a vital role in ensuring the efficient management of all documents related to railway track projects. Reporting to the QAQC Manager, you are responsible for organizing, controlling and maintaining all project documents in compliance with industry standards and company procedures.
Educational Qualifications
- Diploma or Bachelor's Degree in Engineering, Business Administration, or relevant field preferred.
- Certification or training in document control or records management is added advantage.
Experience
- Minimum of 1 year experience in document control, preferably in a construction industry.
- Familiarity with document management system or software.
Duties and Responsibilities
- Maintain an organized system for storage, retrieval, and tracking of project documents.
- Ensure all documents adhere to quality assurance standards and regulatory requirements.
- Manage documents revision and ensure that latest versions are readily available to authorized personnel.
- Facilitate the distribution of documents to relevant stakeholders while maintaining confidentiality and security.
- Collaborate with project teams to review and approve documents for accuracy and completeness.
- Develop and implement procedures for the systematic archiving and disposal of outdated documents.
- Assist in internal and external audits by providing access to requested documents and ensuring compliance with audit requirements.
- Provide training and support to project team members on document control processes and software usage.
- Perform additional tasks and assignments as directed by the QAQC Manager to support project objectives and organization needs.
Requirements and Skills
- Proficiency in document management software and Microsoft Office suite.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal abilities.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Familiarity with railway track construction terminology and processes is preferred.
- Understanding of quality management systems and ISO standards.
- Adaptability and willingness to learn new technologies and processes.
- Ability to maintain confidentiality and handle sensitive information with discretion.
