Overview
Role overview: Manage executive schedules, prepare correspondence, coordinate events, maintain confidentiality, handle urgent matters, liaise with stakeholders, build relationships, ensure proper recording in filing system, and handle ad-hoc assignments for the director.
Responsibilities
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare official correspondence, memoranda, agendas, minutes of meetings, external letters, including preparation for meeting materials and facilities.
- Coordinate events and speaking engagements.
- Maintain high confidentiality in all dealings with sensitive information and correspondence.
- Handle urgent matters, quickly managing unforeseen situations, and ensure the director is informed and prepared to make decisions.
- Act as a liaison between internal/external stakeholders, serving as a point of contact for clients, partners, and other essential contacts.
- Build relationships by establishing rapport with key individuals on behalf of the director.
- Record information effectively within the company’s filing system.
- Handle any ad-hoc assignment as required by the director.
Requirements
- Candidate must possess at least a Diploma/Certificate in business administration, finance, or a related field.
- At least 3 years of experience as an executive assistant or in a related position.
- Fluency in English and Chinese (both written and spoken) is essential as the role requires interaction with Mandarin-speaking customers.
- Strong interpersonal skills.

- Active listening and good communication skills.
- Proactive approach to problem-solving.
- Ability to multitask.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong time-management and organization skills.
- Able to travel for business trips when required.
