Job description
Director Executive Assistant and Personal Assistant

Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.

Prepare official correspondence, memorandum, agenda, minutes of meetings, external letters, and meeting materials.

Coordinate events and speaking engagements.

Maintain high confidentiality with sensitive information and correspondence.

Handle urgent matters, quickly managing unforeseen situations, and ensuring the director is informed and prepared to make decisions.

Act as a liaison between internal and external stakeholders. Serve as a point of contact for clients, partners, and other essential contacts.

Build relationships by establishing rapport with key individuals on behalf of the director.

Ensure the recording of information is effectively captured within the company’s filing system.

Handle any ad-hoc assignments as and when required by the director.

Requirements
  • Diploma/Certificate in business administration, finance, or a related field.
  • At least 3 years of experience as an executive assistant or in a related position.
  • Fluency in English and Chinese (both written and spoken) is essential as the role requires interaction with Mandarin‑speaking customers.
  • Strong interpersonal skills.
  • Discretion and trustworthiness.
  • Active listening and good communication skills.
  • Proactive approach to problem‑solving.
  • Ability to multitask.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
