A leading chemical solutions provider in Selangor is seeking a Customer Service & Logistics Coordinator. You will ensure excellent customer service while managing logistics operations, including order processing, inventory tracking, and stakeholder communication. About the Role:
This is a full-time role that combines customer service and logistics support at Patchem Sdn Bhd. You will be responsible for providing excellent customer service while also supporting logistics operations. The role requires strong communication skills, attention to detail, and the ability to manage various tasks to ensure smooth operations in line with operational procedures for warehouse and transport.
What You’ll Be Doing:
Handle customer inquiries promptly and provide courteous assistance.
Communicate with customers via email to provide updates on order status, delivery details, ETA/ETD, and resolve any issues.
Follow up on monthly forecast orders with customers to ensure timely order processing and accurate fulfillment.
Maintain strong relationships with customers and external partners through consistent communication and follow-ups.
Process customer orders, ensuring timely delivery and optimizing delivery routes and schedules.
Prepare and arrange sample requests efficiently.
Handle sample and document shipments via courier services (e.g., GDEX, DHL, FEDEX) for timely delivery.
Follow up on incoming shipments with forwarding agents and shippers to ensure timely arrivals, providing regular updates to customers.
Update ETA (Estimated Time of Arrival) / ETD (Estimated Time of Departure) to both sales and customers on time.
Issue Purchase Orders (PO) to suppliers based on customer orders and forecasts; follow up with suppliers to ensure timely deliveries.
Ensure the entire order cycle is managed from order receipt to final delivery.
Plan and monitor stock levels to ensure sufficient inventory for customer orders and forecast demand. Check stock availability and provide stock reports to the sales team when needed.
Ensure adherence to operational procedures for warehouse and transport management to maintain efficiency.
Coordinate with the warehouse team to ensure accurate inventory tracking and proper stock levels for timely order fulfillment.
Monitor and support transport arrangements as required to ensure smooth operations.
Maintain detailed records of customer interactions and order statuses for future reference.
Manage clerical tasks such as arranging purchases of stationery and refreshments, typing, proofreading, and editing documents and reports.
Oversee and manage external services such as maid services when required.
Prepare and issue customer invoices promptly; resolve any invoicing issues and create Credit Notes (CN) / Debit Notes (DN) when necessary.
Assist with other ad-hoc administrative tasks as required.
Ensure smooth coordination between departments to support overall operational efficiency.
What We’re Looking For:
Strong communication and interpersonal skills with the ability to build rapport with customers.
Excellent organizational and multitasking abilities to handle multiple tasks simultaneously.
Proficiency in using software such as MS Outlook and Autocount Accounting.
Experience in customer service or logistics support is preferred.
Proactive, detail-oriented, and able to work independently as well as part of a team.
Ability to follow up on customer requests and maintain strong relationships with external partners.
Knowledge of operational procedures for warehouse and transport is an advantage.
Import and export experience is required, with familiarity in shipping and forwarding processes.
Knowledge of trade procedures and documentation for both trader and manufacturer operations is a plus.
