Job summary

A reputable MNC in the HVAC Manufacturing Industry is seeking a Personal Assistant in Shah Alam to provide secretarial support to the Managing Director and assist in corporate planning. The ideal candidate must have at least 2 years of relevant experience and a Japanese Language Proficiency Test (JLPT) N2 certification. Responsibilities include managing the MD's schedule, coordinating meetings, and handling confidential information. A professional and detail-oriented mindset is essential for this role.

About the Role

This position combines MD secretarial support and corporate planning responsibilities, offering excellent exposure to senior leadership, cross-department coordination, and regional HQ interactions.

Key Responsibilities

MD Secretarial Support

  • Manage the MD’s daily schedule, including frequent changes and urgent requests
  • Arrange meetings with HQ (Japan), management, and external parties
  • Coordinate company-wide events, business trips, and visitor engagements
  • Act as a key coordination point between departments and the MD
  • Provide hospitality support during meetings and events

Corporate Planning & Administration

  • Control budgets and manage expenses for Corporate Planning and MD Office
  • Coordinate and compile materials for General Assembly and management meetings
  • Arrange and follow up on sanction and planning meetings
  • Update company profile, website, and intranet
  • Support ad-hoc corporate initiatives as assigned by the MD
What We’re Looking For
  • Minimum 2 years of experience as a Personal Assistant, Secretary, or Admin Executive
  • JLPT N2 or equivalent Japanese proficiency (written & spoken)
  • Strong coordination, multitasking, and communication skills
  • Professional, detail-oriented, and comfortable working with senior management
