Qualifications

  • Minimum of 2-5 years’ experience in corporate secretarial work.
  • Ability to handle portfolio independently and work under minimal supervision.
  • Experience in professional firms handling companies in various jurisdictions is an advantage.

Responsibilities

  • Review work prepared by the team for completeness.
  • Coach and train team members.
  • Assist in handling company secretarial matters.
  • Ensure compliance with corporate regulations.
  • Prepare statutory documents and maintain records.
  • Provide KYC support and manage documentation.
  • Assist with work pass administration.

We have an exciting opportunity for you to join our team as an Associate / Senior Associate, Corporate Secretarial. Reporting to the Assistant Manager / Manager / Head of Department, Corporate Secretarial, this full-time and permanent position is based in Kuala Lumpur and offers regional coverage, allowing you to make a significant impact to our Fund Services and its’ growth.

Key responsibilities
  • Review works prepared by the team to ensure completeness, requests are followed up in a timely manner and completed within scheduled delivery service
  • Coach and train team members to enable them to carry out their roles effectively and efficiently
  • Assist in handling company secretarial matters for various jurisdictions including offshore companies (SG & HK).
  • Ensure compliance with provisions of corporate enactments, statutory reporting / filing and corporate governance
  • Prepare minutes, resolutions and statutory documents etc, (if and when required).
  • Update and maintain statutory records (if and when required)
  • Ensure documents and files are correctly named, saved and maintained in the database (if and when required)
  • Provide KYC support and maintain KYC documentation (if and when required)
  • Provide administrative support to the corporate secretarial teams in other offices (if and when required)
  • Assist in preparing/reviewing/managing work pass administration including application, renewal, issuance and cancellation of Work Pass. (For MOM related supports) (if and when required)
  • Prepare agenda, issue notice, attend (where necessary) and record minutes of relevant board and board committee’s meetings. (For Listed / Inhouse supports) (if and when required)
  • Assist in drafting and making relevant announcements / submissions / reports / circulars to stock exchange. (For Listed / Inhouse supports) (if and when required)
  • Any other ad-hoc duties.
Key requirements
  • Degree /Diploma in business administration or law or related fields
  • Recognized Degree / Diploma with MAICSA/ICSA qualifications or currently pursuing MAICSA / ICSA will be an advantage.
  • Good communication, critical thinking and problem solving skills
  • Meticulous attention to fine detail and able to work to tight deadlines and multi-tasking.
  • Independent and self-motivated.
  • Ability to organise and prioritize work with minimum supervision.
  • Strong team player
  • Min of 2-5 years’ experience in corporate secretarial work and ability to handle portfolio independently will be an advantage.
  • Experience in professional firms and in handling companies in various jurisdictions is an advantage
  • Experience in handling listed companies is an added advantage. (For Public Listed support)
  • Knowledge on fund structures and compliance would be an advantage (For Fund Corporate Secretarial support)
