We're hiring! We are looking for a Business Admin Assistant to join our Reinsurance team in KL, Malaysia. This is a hybrid role with the flexibility to work both virtually and from the office.

What the day will look like

Provide secretarial and administrative support to the Chief Executive Officer, covering diary management activities, arranging travels and meetings, as required.

Provide administrative and operational support for Aon Reinsurance Malaysia team, to ensure the smooth running of the company’s operation. Help the team achieve its financial objectives through efficient administration support.

Coordinate for Malaysia team on the travel arrangements inclusive of air-ticket, hotel accommodation, visa arrangements, etc.

Plan, prepare, organize and/or coordinate internal / external meetings / trainings / market seminar, including all catering, equipment and logistical requirements. Ensure all processes complied Aon procedures and protocols.

Manage and organize Aon Re Malaysia’ marketing and promotion projects including annual client appreciation event, regular festive gifts (Aon’s CNY Red Packet and hampers).

Act as the contact point / liaison person with our business partners (clients, reinsurers and vendors). Follow up on incoming inquiries and ensure prompt response for time sensitive deliverables.

Perform general administrative duties as required, including but not limited to the following:

Handle incoming, outgoing and mass mails, including courier, hand documents and post.

Data entry, photocopying/scanning, binding documents, filing, etc.

Maintain a proper and user-friendly filing and document control system.

Maintain proper record and keep track of the office’s inventory

Properly maintain an up-to-date client contact listing

Work with other Executive/Team Assistants or other related parties within other countries under Head of South-East Asia supervision.

Maintain a high level of confidentiality at all time.

Undertake any ad-hoc admin projects/duties as required.
