Job description
MISSION

We are looking for a Back Office Operations & Compliance Analyst to support our finance and compliance functions through daily operational controls, payment monitoring, and customer due diligence processes. This role sits at the intersection of finance operations, compliance execution, and customer service support, with a strong focus on accuracy, coordination, and issue resolution. The position is operational in nature, with responsibility for Level 1 support and first-line controls, and ownership of internal escalations across departments. This position is based in Kuala Lumpur.

KEY RESPONSIBILITIES
  • Finance & Payment Operations:
    • Monitor and perform daily cash reconciliation between incoming funds and open customer receivables, ensuring accuracy and completeness.
    • Ensure that incoming cash flows are processed in line with the applicable regulatory framework and internal policies.
    • Act as the primary operational contact with external payment service providers (e.g. credit card transaction processors):
      • Review payment flow issues.
      • Troubleshoot blocking points and failed transactions.
      • Follow up on settlement or reconciliation discrepancies.
    • Work closely with Customer Service to provide Level 1 support on finance-related customer inquiries (payments, allocations, order funding status).
  • KYC & Compliance Operations:
    • Review customer KYC submissions using an external KYC software tool.
    • Perform first-line compliance checks on KYC files in accordance with internal procedures.
    • Approve or reject KYC files based on defined criteria, escalating complex or unclear cases when required.
    • Manage the compliance communication process, including:
      • Sending requests to customers for missing or incorrect compliance documentation.
      • Following up to ensure timely completion of KYC files.
    • Act as Level 1 compliance support for Customer Service on KYC and compliance-related cases.
  • Cross-Functional Coordination & Escalations:
    • Take ownership of internal escalation cases involving Finance, Compliance, and Customer Service.
    • Coordinate between departments to identify root causes and resolve operational or compliance issues.
    • Track issues through to resolution and ensure proper documentation and communication.
REQUIRED EDUCATION AND EXPERIENCE
  • Experience in back office operations, finance operations, compliance operations, or a similar role.
  • Strong attention to detail and high standards for data accuracy.
  • Ability to follow defined procedures while recognizing when escalation is required.
  • Comfortable working with multiple internal stakeholders (finance, compliance, customer service).
  • Clear written communication skills, especially when interacting with customers on compliance matters.
  • Ability to manage multiple cases simultaneously in a structured manner.
  • Ability to work highly autonomously in a remote, globally distributed team across different time zones.
  • English fluency.
NICE TO HAVE:
  • Exposure to regulated environments (financial services, payments, fintech, trading, e-commerce with regulated products).
  • Familiarity with KYC / AML concepts and customer due diligence workflows.
  • Experience working with payment service providers or transaction processing tools.
  • Knowledge of additional languages such as German, French, Spanish, or Italian is considered an asset.
