Job description
Job Responsibilities
  • Assist in the planning, coordination, and supervision of all facility maintenance activities, including preventive, predictive, and corrective maintenance.
  • Oversee the work order system by assigning priorities and resources, tracking costs, monitoring turnaround times, and optimizing response efficiency.
  • Supervise and guide maintenance staff; participate in recruitment, training, evaluation, and recommend disciplinary actions when necessary.
  • Serve as project manager for small-scale renovation works, including developing scopes of work, managing contractors, costs, permits, and timelines.
  • Ensure compliance with safety and regulatory requirements by conducting inspections and following up on corrective actions.
  • Monitor the performance of building systems and implement improvement solutions where necessary.
  • Coordinate with department heads to assess space utilization and recommend reconfigurations or renovations to optimize operations.
  • Provide excellent customer service in response to facility-related issues and requests from internal stakeholders.
  • Manage preventive maintenance programs, including scheduling, tracking, and oversight of inspections and servicing of equipment.
  • Develop and implement training programs for the facilities team to ensure competency and compliance with standards.
  • Perform administrative, managerial, or operational duties as needed to support the smooth functioning of the department.
  • Act on behalf of the Manager in their absence, ensuring continuity of leadership and support.
  • Assist the Facility Manager in overseeing day-to-day maintenance operations, including supervision of staff, coordination of work orders, and management of maintenance and engineering projects.
  • Coordinate and monitor the execution of preventive, corrective, and predictive maintenance tasks to ensure equipment reliability and optimal building performance.
  • Conduct regular inspections of building infrastructure, systems, and services to ensure compliance with regulatory requirements, building codes, and safety standards.
  • Lead and support risk assessments, incident investigations, and the implementation of corrective and preventive actions to enhance workplace safety.
  • Monitor the performance of critical systems such as related Facilities Engineering scope in/as Electrical, Utility System, HVAC, plumbing, medical gas, ELV and proposing sustainable and cost-effective solutions.
  • Supervise, train, and evaluate technical and custodial staff, promoting a strong safety culture, accountability, and high standards of service delivery.
  • Maintain and update accurate records of maintenance activities, asset inventories, inspections, repairs, equipment warranties, and incident reports.
  • Utilize Computerized Maintenance Management System (CMMS) and other software tools to manage work orders, track maintenance performance, monitor asset health, and generate reports for management.
  • Liaise with clinical and administrative departments to address facility-related needs, ensuring prompt resolution of complaints and service requests.
  • Oversee inventory management for spare parts, tools, and consumables, ensuring sufficient stock levels and proper storage.
  • Develop and implement standard operating procedures (SOPs) for departmental operations and maintenance practices to ensure consistency and efficiency.
  • Coordinate and manage external vendors and service providers for outsourced services, such as scheduled waste disposal, waste collection, and other contracted maintenance services.
  • Representing the Facilities Department in organizational committees, safety briefings, and planning meetings.
  • Support departmental strategic goals by identifying and driving process improvement initiatives to enhance efficiency, energy savings, and staff productivity.
  • Develop and coordinate comprehensive preventive maintenance programs for infrastructure and essential equipment.
  • Work closely with clinical departments on specialized systems such as medical gas systems, isolation rooms, HEPA filters, ventilation, and infection control engineering measures.
  • Assist in budget tracking, cost control, and procurement related to maintenance and facility services.
  • Act on behalf of the Facility Manager during his/her absence to ensure operational continuity and decision‑making support.
  • Perform other administrative, managerial, and facility-related duties as assigned to support overall departmental and hospital objectives.
Job Requirements
  • Degree / Diploma in Engineering or a related field.
  • Minimum of 5 years of experience in a facility management role, preferably in a healthcare setting to provide the requisite knowledge and skills.
  • In depth knowledge of document control, record management principles and best practices to ensure proper oversight.
  • Understanding of legal and regulatory requirements related to document control and records management in healthcare environments.
  • Proven ability to develop, implement and actively manage document control and record keeping processes and procedures.
  • Analytical skills to assess data, identify issues or gaps, and highlight opportunities for improvement.
  • Capacity to work independently with minimal supervision to achieve objectives.
  • Knowledge in managing facilities project and retrofit works.
