Responsibilities
- Assist in maintaining healthy inventory levels for raw materials, packaging, and finished goods by monitoring stock reports and raising alerts for re‑ordering.
- Support in processing purchase orders and ensuring their accuracy.
- Assist in liaising with the Production and Warehouse departments on material availability and delivery schedules.
- Help in coordinating the return or claim process for damaged or sub‑standard goods with suppliers and internal departments.
Documentation & Compliances
- Assist in the preparation and processing of shipping and customs documents (e.g., invoices, packing lists) under guidance.
- Help track and ensure the timely renewal of annual licenses and permits.
- Support in maintaining and organizing a database of all procurement documents, certificates, and supplier records for audit purposes.
- Assist in updating and maintaining the supplier database and product costing sheets with current information (e.g., prices, contact details).
- Conduct initial market research to identify potential new suppliers or alternative materials as directed.
- Assist in collecting and organizing data related to supplier performance for review by senior staff.
Audit & Reporting Assistance
- Provide administrative support to the QA Department during internal and external audits (e.g., Halal, ISO, Organic) by preparing required documents and records.
- Assist in the preparation of routine reports, such as weekly shipment updates and monthly purchase records.
- Help maintain accurate and up‑to‑date procurement files and trackers.
General Administration
- Liaise with appointed freight forwarders for shipment tracking and document collection.
- Coordinate meetings and communication between procurement, suppliers and internal departments.
- Perform other related duties as assigned by management.
Requirements
- Candidate must possess at least a Bachelor's Degree or Diploma in Business Administration, Supply Chain Management, Logistics or a related field.
- Minimum 1 to 2 years of experience in a supportive role (procurement, admin, logistics or supply chain).
- Experience or familiarity with the FMCG industry is a strong advantage.
- Strong communication and negotiation skills for client/sales team interactions.
- Good verbal and written communication skills for liaising with internal teams and external suppliers.
- A quick learner with a willingness to understand procurement processes and regulatory requirements (e.g., KPDNHEP, MITI, JAKIM); prior knowledge is an added advantage.
- Collaborative spirit, able to work effectively in a team environment.
- Self‑motivated, dependable, and shows a high level of integrity; able to manage multiple tasks and prioritize effectively.
- Possess own transport and is willing to travel for work‑related errands (e.g., document submission, local supplier visits).
