A Malaysian educational institution seeks an Administrative Officer for its Industrial Relations Department. This role involves coordinating IR meetings, updating disciplinary records, and preparing reports. Candidates must hold a Bachelor's degree in Human Resource Management or related fields and have at least one year of relevant experience. Proficiency in employment laws and strong problem-solving skills are essential for managing a dynamic work environment.
KEY ROLES:
Coordinate and arrange meetings related to Industrial Relations (IR) matters.
Ensure that the records of disciplinary cases are regularly updated in the IR tracker.
Assist in preparing IR reports and compiling the necessary documentation for IR cases.
Support investigation activities by gathering and organizing relevant information and documents, including photographs, letters, reports, and other related materials.
Assist in drafting Show Cause letters, Warning/Stern Warning letters, Termination letters, and other correspondence related to IR matters.
Provide support in handling staff grievances.
Assist in conducting employee relations programmes pertaining to employment matters, disciplinary actions, conflict resolution, and the interpretation or application of company policies, rules, and regulations.
Assist in reviewing, updating, and developing new SOPs, guidelines, or policies related to IR.
Perform other ad-hoc duties as assigned from time to time.
Capable of preparing proposals or management papers on IR-related issues.
REQUIREMENTS:
Possess a Bachelor’s Degree in Human Resource Management / Business Studies / Laws or any equivalent qualification.
Minimum one (1) year of experience in handling Industrial Relations (IR) or Human Resource (HR) matters.
Good knowledge of the Employment Act, Industrial Relations Act, and other relevant employment laws.
Strong problem-solving skills with a high level of integrity and professionalism.
Able to work effectively in a fast-paced environment and manage tight deadlines and pressure.
