Job description

The Administrative Officer ensures smooth office operations by managing facilities, centralised purchasing, administrative support, and employee engagement activities. This role requires strong organizational skills, discretion in handling confidential matters, and the ability to coordinate across departments and external vendors.

Key Responsibilities
  • Oversee office facilities, supplies, and equipment to maintain a productive and pleasant working environment.
  • Handle sourcing, purchase orders (POs), and payment follow-up for HQ and branch offices.
  • Assist with contract renewals and perform Know Your Vendor (KYV) checks.
  • Coordinate with vendors, service providers, and contractors for office maintenance and services.
  • Support the execution of engagement programs including festive events, team building activities, wellness initiatives, and monthly treats.
  • Answer and direct phone calls professionally.
  • Manage courier distribution and logistics.
  • Assist with expense recording and data entry.
  • Manage general insurance coverage for the head office and branch locations.
  • Effectively prioritize multiple tasks and manage time in a fast-paced environment.
Qualifications & Skills
  • 1–2 years’ experience in administrative or office management roles. Fresh graduate encouraged to apply.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office and relevant procurement systems.
