Major Duties and Responsibilities

The successful candidate will be responsible for:

Leading and overseeing the overall administrative works and processes at the branch.

Preparing and providing monthly reports required by Head of Branch (HOB) and other related departments.

Ensuring all the monthly reports and documentation are submitted to all respective departments before the deadlines.

Creating, communicating, maintaining and ensuring proper implementation of policies, SOPs and best practices related to all administration and various business processes.

Providing administrative information and supervising general administration activities such as petty cash, mailing, stationary checking, pest control, cleaning service, etc.

Managing the administrative operations such as the correspondence between offices, confidential letters, invoicing, cheques and budgets, etc.

Ensuring invoicing and payment process flow is in good order at the branch.

Developing and implementing an efficient documentation and filing system for both paper and electronic records.

Monitoring the monthly average stock levels at warehouse, and reporting to Head of Branch accordingly.

Actively providing timely support and rendering cooperation proactively to all departments when needed.

Duly delegating tasks and actively following up and constantly updating the HOB or any other related department of the works progress and updates.

Undertaking any and all other duties and responsibilities as so instructed by the superior and/or Company.

Qualifications and Skills Required

The ideal candidate will have/be:

Possess at least a Degree in Business Administration or any related field with at least 3 years’ experience in an Administration Executive role.

Sound knowledge of office management systems and procedures.

Strong organizational, planning and problem-solving skills.

Excellent time management skills and sense of urgency meeting deadlines.

Able to multitask and prioritize work.

Committed to work and pay attention to detail.

Able to work independently and handle pressure at work.

A fast learner, open minded and continuously improving mindset.

A good team player with good interpersonal skills where frequent collaboration across functional teams or company is necessary.

Good verbal and written communication skills in English and Bahasa Malaysia. Candidates fluent in Mandarin would be an added advantage.

Computer literate, good Excel skills, ability to work with lookups and pivot tables and proficiency in Microsoft Office, other relevant software and application.
