The Administration & General Affairs Manager is responsible for overseeing and managing the administrative functions of the organization. This role involves ensuring efficient office operations, managing facilities, policy and procedure development, and handling general affairs to support the company's overall goals.
Office Management & Factory Operation
- Supervising all matters related to office management, administration, operation & maintenance of company building and equipment to ensure an effective utilization of the company resources.
- Support daily factory operation.
Policy and Procedure Development
- Develop, implement, and enforce office policies and procedures.
- Ensure compliance with company policies and legal regulations.
- Continuously review and update policies to improve efficiency and effectiveness.
- Handle general affairs such as all licensing related to external party permission, accommodation and liaise with government authorities when required.
- Oversee the implementation of company policies related to general affairs.
- Maintain a good communication and relationship with supplier or other company stakeholders.
Budget Management
- Prepare and manage the administration budget.
- Monitor expenses and ensure cost-effective operations.
- Negotiate contracts with vendors and service providers to optimize costs.
Compliance and Reporting
- Ensure compliance with company policies and regulatory requirements.
- Prepare and submit reports on administrative activities and expenses.
- Maintain records and documentation related to administrative operations.
- Handle other ad-hoc tasks as may be required from the management.
Job Requirements
- Bachelor’s degree in Business Administration, Communications, Public Relations, or a related field.
- Minimum of 8 to 10 years of experience in handling both administrative and general affairs management preferably from the manufacturing industries.
- Strong organizational and multitasking skills.
- Required Language: English, BM and Mandarin (preferred Mandarin speaker as this role is required to deal with China Counterpart).
- Excellent communication and interpersonal abilities.
- Expected to be able to handle every challenge in a work well.
- Able to work independently with minimum supervision.
- Proficiency in MS Office and office management software.
- Willing to work 5 1/2 days (with Saturday alternate).
- Working location to be based in Meru, Klang.
