The Admin Executive cum Executive Assistant provides comprehensive administrative and executive support to the management team, ensuring efficient day-to-day office operations. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive information with discretion while balancing both administrative and executive support responsibilities.
Key Responsibilities
Executive Support
- Provide full secretarial and administrative assistance to the Management/Director, including calendar management, meeting scheduling, and travel arrangements.
- Prepare meeting agendas, minutes, and follow-up action trackers.
- Handle confidential and sensitive information with the highest level of discretion.
- Draft, review, and format correspondence, reports, and presentations.
- Liaise with internal departments and external stakeholders on behalf of management.
- Support in coordination of corporate events, meetings, and management reviews.
Administrative Support
- Oversee general office administration including supplies, maintenance, and vendor coordination.
- Manage incoming and outgoing correspondence, filing systems, and documentation control.
- Assist in HR and finance administrative tasks such as claims, attendance records, and onboarding logistics.
- Support procurement and expense tracking activities.
- Maintain office policies and ensure compliance with company standards.
- Coordinate logistics for internal meetings, company activities, and staff welfare events.
Requirements
- Diploma or Degree in Business Administration, Management, or equivalent.
- Minimum 3 years of relevant experience in administrative and/or executive assistant roles.
- Excellent communication and interpersonal skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and office management tools.
- High level of professionalism, integrity, and confidentiality.
- Ability to work independently with minimal supervision and manage tight deadlines.
