Job summary

An Authorized Automotive Treatment Facility in Malaysia is seeking a friendly and detail-oriented Admin & Data Entry Executive to ensure accurate vehicle documentation, support internal operations, and communicate effectively with customers. This role requires proficiency in Microsoft Office, strong attention to detail, and good communication skills in English and Bahasa Malaysia. A diploma or equivalent education is preferred. Join an Authorized Automotive Treatment Facility (AATF)!

We’re an Authorized Automotive Treatment Facility (AATF) committed to responsible vehicle disposal and recycling. As our team grows, we’re looking for a friendly and detail-oriented Admin & Data Entry Executive to help keep our records in order and support smooth operations.

Data Entry & Vehicle Documentation

Accurately input vehicle details, photos, and specifications into the internal system.

Maintain organized records and digital filing for audit and compliance purposes.

General Administrative Support

Perform filing, scanning, and organizing documents.

Prepare internal reports and assist with clerical support for various departments.

Maintain office supplies and administrative resources.

Operations Coordination

Guide vehicle owners through the deregistration process.

Communicate with customers / workshops via phone, WhatsApp, or email regarding vehicle statuses.

Coordinate with towing companies and workshops to schedule vehicle collection.

Task Management & Internal Follow-ups

Monitor pending jobs and follow up with internal teams to ensure timely progress.

Escalate delays or issues to supervisors when needed.

Assist with basic scheduling of field staff for photo-taking or documentation support.

Skills & Requirements

Diploma or equivalent (bonus if previously worked in admin, logistics, or automotive industry)

Proficient in Microsoft Office (Excel, Word) and comfortable using digital systems.

Strong attention to detail in documentation and data entry.

Good communication skills (written and verbal) in English and Bahasa Malaysia.

Ability to multitask and manage time efficiently in a fast-paced environment.

(Optional) Knowledge about vehicles or JPJ — we’ll train you if not!

Working Conditions

Based at Car Medic’s office in Bandar Teknologi Kajang.

Standard working hours: Monday to Friday + 1 Saturday every month.

Indoor office environment with occasional coordination with field technicians.

Daily use of computers, JPJ eDereg system & internal platforms.

Handle multiple customer cases & logistics tasks with high attention to detail.
