Job summary

KPJ Penang Specialist Hospital invites applications for a Healthcare Assistant based in Bayan Lepas, Penang. You will ensure accurate entry of hospital charges and maintain complete patient records.

You will collect charge tickets, verify consultant charges, update the Hospital/Bed Management System, and support safe, efficient ward operations with courteous patient service. English and Bahasa Malaysia proficiency is required.

Qualifications

• Must have SPM or equivalent; experience in hospital setting is preferred.
• Able to converse in English and Bahasa Malaysia, both written and spoken.
• Strong organizational and communication skills essential.

Responsibilities

• Enter hospital charges accurately into the system and verify consultant charges.
• Maintain complete and organized patient records and ensure documentation is endorsed and signed.
• Update and verify patient information in the Hospital/Bed Management System; maintain data integrity.

GENERAL DESCRIPTION

Ensure all the hospital charges are accurately entered into the system. Verify that all medical forms are fully completed by the consultant. All patient files are properly maintained and organized. Work collaboratively with team members to ensure precise and timely billing.

JOB DESCRIPTION ORGANIZATION AND MANAGEMENT

Perform timely collection of charge tickets from wards and verify accuracy of hospital and consultant charges prior to system entry. Maintain complete and organized patient records by ensuring all Guarantee Letter forms are duly completed and endorsed by consultants. Verify all referral documents are accurately completed and signed before processing. Maintain patient folders in a systematic, secure, and well-organized manner, ensuring no documents are missing. Update and verify all patient information accurately in the Hospital/ Bed Management System. Maintain all patient data, forms, and documentation in accordance with hospital policies and record management standards. Provide courteous, respectful, and compassionate service to patients during admission to achieve high patient satisfaction. Adhere to Occupational Safety and Health Act 1994 by practicing safe work habits, complying with safety instructions, and utilizing appropriate protective equipment. Support smooth departmental operations by coordinating activities efficiently, including uninterrupted surgical services. Update and maintain continuous accuracy of the Hospital/Bed Management System. Participate actively in the implementation of new services and hospital initiatives. Perform additional duties as assigned by the immediate superior in support of operational excellence.

POLICIES AND PROCEDURE

Adhere to the hospital's policies and nursing code of conduct, ensuring patient confidentiality and standard infection control practices are upheld.

FACILITIES AND EQUIPMENT

Assist the trained staff in managing the proper storage, condition, and availability of biomedical equipment in the unit, maintaining a sufficient supply of ward stock, and maintaining accurate records for equipment, medical supplies, and consumable item.

SAFETY AND QUALITY IMPROVEMENT ACTIVITIES

1. Participate in new services, comply with 5S activities, patient safety policies, and adherence to ISO, MSQH, JCI, PSG, BFHI and NNA, ensure comply with patient safety goals, and occupational safety measures.
2. Adhere to the Occupational Safety and Health Act and Regulations 1994, tak reasonable care at work, cooperate with employers, wear proper PPE, and follow all safety and health instructions and measures.

JOB REQUIREMENT

Education Sijil Pelajaran Malaysia Certified healthcare assistants would be a priority Knowledge and Experiences: Experience working in a hospital setting is an advantage Special skills required Able to converse fluently and write in English language and Bahasa Malaysia Personal attributes Have interpersonal and communication skills.
