Job summary

A logistics company in George Town, Penang is seeking an Operations Executive to manage weekly order deliveries, coordinate with various departments, and prepare documentation for compliance. The ideal candidate will support the Operations Director in administrative tasks, perform bookkeeping, and have experience with SQL Accounting System. This role involves data management and communication with stakeholders.

Qualifications

  • Experience in handling export documentation is an advantage.
  • Ability to prepare and manage certification documents (HACCP, HALAL, MESTI, etc.).
  • Experience in bookkeeping and financial record-keeping.

Responsibilities

  • Plan and arrange weekly order deliveries.
  • Coordinate with Production and Packaging departments for smooth delivery.
  • Manage daily email correspondence with government agencies and customers.

Job description
Responsibilities
  • Plan and arrange weekly order deliveries, including issuing Delivery Orders (DO) and Purchase Orders (PO).
  • Coordinate with the Production and Packaging departments to ensure smooth delivery.
  • Handle export documentation and procedures (experience in export is an advantage).
  • Manage daily email replies, especially messages from government agencies, customers, and suppliers.
  • Assist in internal communication to ensure accurate and timely information sharing.
  • Perform basic bookkeeping and daily financial record-keeping.
  • Assist with payments, receipts, and accounting entries.
  • Familiarity with SQL Accounting System is preferred.
Documentation & Compliance
  • Prepare and manage certification documents such as HACCP, HALAL, MESTI, etc.
  • Organize, file, and maintain company administrative documents.
Data Management
  • Record, update, and consolidate data such as customer, sales, employee, and stock information using Google Spreadsheet / Excel.
  • Assist in data analysis and reporting.
Administrative Support
  • Support the Operations Director in daily administrative and clerical tasks.
  • Assist in ad-hoc projects and general matters as required.
