The Opportunity

We're looking for a highly organized, resourceful, and proactive Workplace Coordinator to join our fast-growing global team. In this role, you'll help shape how we work — ensuring our distributed workforce stays connected, supported, and engaged, while providing high-level administrative support to company leadership. Reporting directly to the Chief People Officer, your work will directly impact our company culture and employee experience, helping ensure that every team member feels empowered, no matter where they are in the world. This is an ideal role for someone who thrives in a fast-paced, remote-first startup or scale-up environment, loves building efficient systems, and takes pride in creating exceptional experiences. This is a remote, full-time role with occasional opportunities for in-person collaboration.

Key Responsibilities
  • Provide proactive, high-level administrative support to senior leadership (e.G., C‑Suite, and department heads).
  • Manage complex calendars, schedule cross‑functional and global meetings, and coordinate travel logistics.
  • Prepare and format executive documents, reports, and presentations.
  • Handle confidential information with professionalism and discretion.
  • Track key initiatives, ensuring timely follow‑ups and clear communication between leadership and teams.
  • Assist with coordination of board meetings, leadership offsites, and strategic company and client events.
  • Support the day‑to‑day operations that keep our distributed team running smoothly and connected.
  • Manage internal requests for all Workplace‑related inquiries and provide responsive, high‑quality support.
  • Handle general administrative duties and coordinate company‑wide gifting, swag distribution, and remote event planning.
  • Track and reconcile Workplace‑related expenses, ensuring accurate reporting and alignment with budget goals.
  • Manage internal communications related to the remote Workplace experience.
  • Create and maintain digital guides, FAQs, and documentation to streamline internal processes.
  • Balance multiple projects and priorities while maintaining exceptional attention to detail and organization.
  • Define and track your own OKRs (Objectives and Key Results) to align with company goals.
  • Continuously improve the remote employee experience through process optimization and cost‑effective solutions.
  • Perform additional operational or administrative tasks as needed.
What You Bring to Ledn
  • 2+ years of experience supporting virtual or distributed corporate operations.
  • Proven ability to manage multiple projects in a fast‑paced, high‑growth environment.
  • Experience with remote collaboration tools, ticketing systems, and calendar management.
  • Strong ability to manage vendor relationships and coordinate with external service providers remotely.
  • Experience handling equipment and supply orders for distributed teams.
  • A customer service mindset — you take pride in helping others succeed in a virtual setting.
  • Excellent written and verbal communication skills; comfortable engaging across time zones and cultures.
  • Ability to self‑manage, set priorities, and deliver results with minimal supervision.
  • Strong organizational, analytical, and problem‑solving skills with exceptional attention to detail.
  • Comfort with ambiguity, demonstrating sound judgment in decision‑making.
  • Adaptability to thrive in a remote‑first, constantly evolving environment.

  • Bilingual in English and Spanish would be a great asset.
