ABOUT THE ROLE / ROLE OVERVIEW

The Document Controller will be responsible for managing, controlling, and maintaining all project documentation in accordance with EPC and Data Center industry requirements. This role ensures the integrity, accuracy, and timely availability of project documents throughout the project lifecycle, supporting engineering, procurement, construction, and commissioning teams.

KEY RESPONSIBILITIES
Document Management & Control
  • Establish, maintain, and enforce document control procedures in line with project and EPC standards.
  • Manage the flow of documents between internal teams, subcontractors, vendors, and the client.
  • Register, track, and archive project documentation (technical drawings, specifications, contracts, procedures, submittals, RFIs, change orders, etc.) in the document management system (DMS).
  • Ensure document numbering, formatting, and metadata follow established project protocols.
  • Monitor the review and approval process of engineering, procurement, and construction documents.
Systems & Tools
  • Administer and maintain electronic document management systems (e.g., Aconex, Procore, BIM 360, SharePoint, or client‑specified platforms).
  • Ensure alignment of document control practices with BIM and CDE (Common Data Environment) requirements in Data Center projects.
  • Generate and distribute document transmittal, workflows, and tracking logs.
Compliance & Quality Assurance
  • Ensure documentation complies with EPC contract requirements, client specifications, and data center quality standards.
  • Conduct periodic audits to confirm adherence to document control procedures.
  • Support QA/QC, HSE, and commissioning teams in documentation handover and close‑out activities.
Project Interface
  • Liaise with project managers, engineers, procurement, and subcontractors to ensure timely submission and retrieval of documents.
  • Support procurement and vendor management by controlling technical submittals, datasheets, and approvals.
  • Prepare project document handover packages (O&M manuals, as‑built records, commissioning reports) in line with client requirements.
REQUIREMENTS
Education / Qualification
  • Bachelor’s degree or Diploma in Administration, Engineering, or related field (preferred).
Experience
  • Minimum 5 years’ experience in document control, with at least 2 years in EPC or Data Center projects.
Skills & Attributes
  • Proficiency in EDMS platforms (Aconex, Procore, BIM 360, SharePoint, etc.).
  • Strong understanding of EPC project documentation (engineering drawings, procurement submittals, ITPs, RAMS, commissioning docs).
  • Familiarity with ISO standards, QA/QC procedures, and data center commissioning documentation.
  • Excellent organizational skills and attention to detail.
  • Strong communication and coordination skills across multicultural project teams.
