We are looking for a reliable and self‑motivated Admin & Account Assistant. As an Admin & Account Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will be responsible for a variety of administrative tasks that support our team and contribute to the overall success of our organization.
Key Responsibilities
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Draft office correspondences as directed by manager, prepare reports and presentations, and distribute incoming/outgoing mail to the appropriate departments.
- Monitor and renew visas, gate passes and related documents and assist in day‑to‑day office administration tasks.
- Prepare quotations, submit them to the client, and follow up on their status.
- Prepare weekly and monthly status reports for RFQ & purchase orders received from the client.
- Maintain supplier & client databases in the office record book.
- Prepare and submit invoices to the client, and follow up on payment. Prepare monthly payment statements and income/cost reports for management review.
- Coordinate with the fleet department for the arrangement and delivery of equipment to the client.
- Prepare and submit all required documents to obtain and follow up with the client for equipment and operator gate passes to enter KNPC refinery or KOC premises.
- Maintain efficient office procedures and a system for tracking requested actions, reports, databases and staff leave, holidays and other requests.
- Provide administrative and clerical support and coordinate all office procedures.
- Establish, implement and maintain a filing system for reports, policies & procedures and all correspondence internally and externally.
- Maintain and update company databases and filing systems.
- Assist in the preparation of regularly scheduled reports.
- Handle confidential information with discretion and professionalism.
- Support other administrative staff and assist in various projects as needed.
Qualifications
- Proven experience as an Admin Executive, Administrative Assistant, or in a similar role in fleet department and rental of equipment & contracting company.
- Proficiency in MS Office (Excel, Word, PowerPoint) and Google Workspace.
- Excellent organizational and time‑management skills.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- High level of attention to detail and problem‑solving skills.
- Ability to work independently as well as part of a team.
- Bachelor’s degree.
- Candidate must be inside Kuwait and have a valid residency visa (18) with local transfer.
