A leading facility management company in Milano is seeking a Back Office Specialist for Technical & Maintenance Services. The candidate will oversee and coordinate performance and administrative tasks across multiple sites. Key responsibilities include monitoring service requests, managing KPIs, and supporting the ERP system. Ideal candidates should have a diploma or degree, strong Excel skills, and experience in facility services. A permanent, full-time contract is offered with a salary between €30,000 and €35,000.

Mansioni

  • Ensure effective handling of service requests and monitor performance metrics.
  • Track and control Key Performance Indicators as defined in the contract.
  • Coordinate Planned Preventive Maintenance (PPM) and Work Orders in collaboration with Site Managers.
  • Manage purchase order processing, monthly cost submissions to the Client, and other administrative duties.
  • Provide support in maintaining and improving Service Level Agreements (SLAs).
  • Act as the main contact for global programs such as tool deployment and capital investment planning.
  • Prepare and present monthly and quarterly reports to regional managers.
  • Serve as SPOC for requests involving multiple sites.
  • Support administrative tasks within the ERP system.

Conoscenze

Solid proficiency in Microsoft Excel
Familiarity with ticketing and maintenance management platforms (e.g., MANPRO)
Strong interest in the technical and maintenance sector
Previous experience in back office roles within facility or technical services

Formazione

Diploma or university degree, preferably in technical-economic disciplines

To support the operations of a major international client, we are looking for a Back Office Specialist – Technical & Maintenance Services to join our Operational Technical Center.

The candidate will be responsible for overseeing and coordinating the performances and administrative tasks of the Facility Management services across multiple production sites, (1 office building and 5 production sites), working closely with the respective Site Managers within the scope of the contract.

Responsibilities :
  • Performance Monitoring & Help Desk Coordination - Ensure effective handling of service requests and monitor performance metrics.
  • Contractual KPI Management - Track and control Key Performance Indicators as defined in the contract.
  • PPM and Work Order Oversight - Coordinate Planned Preventive Maintenance (PPM) and Work Orders in collaboration with Site Managers.

  • Single Point of Contact (SPOC) for Global Initiatives - Act as the main contact for global programs such as tool deployment and capital investment planning.
  • Reporting Activities - Prepare and present monthly and quarterly reports to Apleona regional managers.
  • Multi-Site Coordination - Serve as SPOC for requests involving multiple sites.
  • ERP System Administration - Support administrative tasks within the ERP system, especially for country-level implementation of global initiatives.
Qualifications :
  • Diploma or university degree, preferably in technical-economic disciplines
Required Skills :
