Job summary

Alfa Laval is hiring a Warehouse Assistant to manage inward and outbound material flow, ensuring timely dispatch and efficient resource use to support the distribution center and meet customer expectations.

The role requires hands-on warehouse exposure and 3-7 years in inbound/outbound activities with good Excel and ERP skills. Diploma/Graduate in Foreign Trade is an added advantage; strong communication and multitasking are essential.

Qualifications

• Warehouse exposure is mandatory.
• 3-7 years of experience in handling inbound & outbound activity including documentation, coordination, logistics, etc.
• Proficient in Excel and ERP systems.

Responsibilities

• Inward management: verify GRN, inwards, put away, and status updates.
• Inventory management: stock accuracy and regular cycle counts.
• Inbound/Outbound coordination with O2C, transport, and suppliers.
• Generate and reconcile invoices and shipment documentation.
• Support audit-ready records and maintain traceability.

Key tasks:

Inward management

• Verification, prepare GRN and Inwards cleared for QC / Put away
• Update Inward, Put away parts status
• Sales Returns Information to Outbound and O2C
• Report deviations and reconfirmations.
• Ensure administration of undelivered CO's
• Follow up on Transport Buyer and MFG Units for on time delivery.

Inventory Management

• Responsible for correctness of Stock items in DC.
• Daliy Stock verification of A, B, C class items on regular basis.
• Make inventory analysis on regular basis and take corrective actions.
• Monitor and act on SM/NM list regularly.
• Removing NM / Write off from stock & physical.

Inbound Performance Management

• Monitor Inbound permeance KPI's like SDOT, Put away, GRR Closing time on regular basis.
• Highlight deviations through escalation process.
• Communicate performance to suppliers regularly and seek action plan on gaps.
• Follow up on performance improvements with suppliers.

Outbound Management

• Invoice creation for Local, Export & Out n Out Shipment cleared for Dispatch.
• GST, E waybill and Legel basic knowledge related to Dispatch & Transport.
• Update GMU, local Out to Out & service center parts Invoice details status
• Close coordination with O2C & DC team
• Report deviations and reconfirmations.
• Ensure administration of undelivered due to Invoice creation issue for OA CO's GMU orders.
• Follow up on Transport, Customers and O2C for Invoice creation, data update for on time delivery.
• Export Shipment booking with respective nominated forwarders on their Portal/mail and communication.
• Export Invoice documentation related to PREE & POST shipment details log update.
• Post Export Communication to Group Company Buyer with Shipping details & invoice.
• Post shipment BOE Copies/ Proof of exports submit Bank Person with details and follow up of non-receipt documents.
• L/C shipment pre - post documentation and bank submission.
• Coordinate with WH teams, Order Handler & service Providers.
• Service Providers freight log updating
• LR update & tracking knowledge.
• Required documents Record keeping for Audit and traceability
• Zero errors in invoice creation for Local/Export/ Drop Shipment.

What you can be?

• Warehouse exposure is mandatory
• 3-7 Years of experience in handling inbound & outbound activity including Documentation, co-ordination, logistics etc. good at excel, ERP understanding and using.
• Multitasking, fast learner and good communication both written and verbal.
• Graduate/Diploma in Foreign trade will be added advantage.
