Travel Desk Executive
Location: Christian Basti, Guwahati
Job Summary: The Travel Desk Executive is responsible for managing and coordinating all travel-related activities for employees, executives, and guests within the organization. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities
- Book domestic and international flights, hotels, car rentals, and ground transportation for employees and executives based on corporate travel policies.
- Manage complex itineraries and ensure timely bookings.
- Assist in arranging visa requirements, travel insurance, and other necessary documents for international travel.
- Negotiate rates with travel vendors (hotels, airlines, car rental agencies) to secure the best deals while maintaining quality service.
- Maintain relationships with travel agencies, airlines, and accommodation providers to streamline booking processes.
- Ensure all travel bookings comply with company travel policies and budgets.
- Advise employees and management on cost‑effective travel options and policies.
- Process and track travel expenses for employees and executives, ensuring timely submission and reimbursement.
- Maintain records of all travel‑related invoices and receipts for auditing purposes.
- Provide on‑the‑spot assistance during travel‑related issues (delays, cancellations, rebookings).
- Serve as a point of contact for employees traveling for business‑related queries and support.
- Maintain and update travel records, bookings, and reports.
- Assist with the preparation of monthly or quarterly travel reports, including expenditure analysis and recommendations for cost reduction.
- Provide exceptional customer service to all employees traveling, addressing concerns and ensuring smooth travel experiences.
- Help with special travel requirements, such as booking business class for executives or making special arrangements for employees with disabilities.
Experience, Skills, and Qualification
- Experience: Minimum of 2–3 years of experience in corporate travel management or a travel desk position, managing travel bookings and expenses for business professionals.
- Technical Skills: Proficient in Excel, Word, Outlook, and travel‑booking software.
Salary and Benefits
15k – 25k (depending on skills & experience)
