Job summary

The Peninsular and Oriental Steam Navigation Company in Maharashtra seeks a Branch Operations professional to oversee daily freight forwarding tasks, ensuring timely import/export shipments and alignment with customer SOPs. You will track shipment milestones, update status in the system, and work with internal teams and service providers to resolve issues.

Responsibilities

• Manage day-to-day operational activities of the branch across freight forwarding shipments.
• Ensure smooth and timely execution of import and export shipments in line with customer requirements and SOPs.
• Monitor shipment movement and ensure all operational milestones are completed within defined timelines.
• Coordinate with internal teams and external stakeholders to ensure seamless shipment execution.
• Ensure timely and accurate updates of shipment status in the operating system.
• Monitor pending operational activities and ensure timely closure.
• Coordinate with shipping lines, airlines, NVOCCs, agents, transporters, CFS/ICDs, customs brokers, and other service providers.
• Follow up on bookings, cargo movement, vessel/flight schedules, container availability, customs clearance, delivery, and shipment closure.
• Monitor shipment schedules and proactively identify potential delays or operational risks.
• Coordinate corrective actions for shipment delays, documentation issues, cargo holds, rollovers, and other exceptions.
• Ensure shipments are executed as per agreed customer SOPs and service commitments.
• Coordinate preparation and processing of shipment documentation as per operational requirements.
• Verify shipment documents and coordinate corrections or amendments where required.
• Ensure timely coordination with Customs/CHA teams for clearance-related activities.
• Ensure adherence to company SOPs, regulatory requirements, carrier procedures, and branch processes.
• Maintain accurate operational records and documentation for audit and compliance purposes.
• Monitor operational TAT, shipment status, pending activities, and service exceptions.
• Support branch-level operational reporting and data accuracy.
• Identify opportunities to improve operational processes, reduce delays, and minimize errors.
• Ensure timely closure of open shipments and operational activities.
• Support implementation of new processes, customers, trade lanes, and operational requirements at the branch.
• Ensure adherence to internal controls and operational governance requirements.

Exception & Escalation Management

• Monitor operational exceptions and ensure timely resolution with relevant stakeholders.
• Handle issues related to shipment delays, documentation discrepancies, customs clearance, cargo movement, equipment availability, and delivery.
• Escalate critical or recurring operational issues to the reporting manager.
• Track pending issues and ensure timely closure.
• Identify recurring operational gaps and support corrective actions.

Customer & Stakeholder Coordination

• Coordinate with Customer Service, Sales, Pricing, Finance, Procurement, and other internal teams for smooth shipment execution.
• Provide timely operational updates on shipment status, delays, and exceptions.
• Coordinate with overseas offices and agents for shipment documentation, pre-alerts, cargo status, and operational requirements.
• Support resolution of customer-specific operational requirements in line with agreed SOPs.

Branch Process & Performance

• Monitor operational TAT, shipment status, pending activities, and service exceptions.
• Support branch-level operational reporting and data accuracy.
• Identify opportunities to improve operational processes, reduce delays, and minimize errors.
• Ensure timely closure of open shipments and operational activities.
• Support implementation of new processes, customers, trade lanes, and operational requirements at the branch.
• Ensure adherence to internal controls and operational governance requirements.
