Every year, thousands of Indian students decide they want to study in Australia. Behind that decision is a family that has weighed options, saved carefully, and placed genuine trust in the people helping them navigate what comes next. The application — the documents, the portals, the deadlines, the back-and-forth with universities — is where that trust either holds or it doesn't. When an application is submitted late, or with a missing document, or with a discrepancy that could have been caught, the student pays the price. A delayed offer. A missed intake. A year lost.

This is not an abstract risk. It happens constantly, across the industry. And it happens because the people doing the work don't have the depth of knowledge, the attention to detail, or the sense of ownership that the job actually requires.

This role is where that quality gets made.

You own the full application lifecycle for Australian university students — from first document review to offer received — and you are the person accountable for getting it right.

Most admissions processing roles at study-abroad agencies are high-volume and low-ownership. You process what comes in, you submit what you can, and you move on. The accountability for outcomes is diffuse. The standards are inconsistent. The training is thin.

You will work within systems that are more structured, with university relationships that are more mature, and with a level of institutional trust that gives you access others don't have.

What You Own

The application review process

• Review student applications against Australian university eligibility criteria and identify gaps before submission
• Verify academic documents for accuracy, completeness, and authenticity - and coordinate with internal teams to resolve discrepancies before they become problems
• Own the quality of every application that leaves your desk; errors caught here are not rework, they are the work

Application submission and portal management

• Submit applications through StudyLink and university-specific portals within defined timelines and in compliance with university standards
• Maintain adherence to internal SOPs at every stage of submission
• Track application status across your portfolio and follow up proactively to drive outcomes to closure

Documentation and compliance

• Maintain accurate, complete records of applications, offers, and all related communications
• Ensure data confidentiality and compliance with admission standards are non-negotiable baselines, not afterthoughts
• Flag any systemic compliance gaps to the team lead

Coordination and internal support

• Work closely with counselors and internal teams to ensure smooth handoffs and clean information flow
• Respond to application-related queries professionally and within expected turnaround times
• Support the team in maintaining quality benchmarks across application volume

What Success Looks Like

• The markers below reflect where Kaaiser's admissions function is today. We'll calibrate the specifics once you're in the seat. These are directional, not fixed.
• In your first few weeks, you'll be building fluency - learning the university portfolio, the portal systems, the internal SOPs, and how the team operates. The signal that you're on track early is not volume; it's accuracy. You're asking the right questions, catching the right things, and not letting anything move forward that shouldn't.
• By the middle of your first year, the work should feel owned. Your applications are submitted on time, your error rate is low, your follow-ups are happening before anyone has to ask, and the counselors and team leads who work with you trust what comes from your queue. You're not being managed through the process; you're running it.
• Over time, what you build is a standard. The way you handle documentation, the way you manage your pipeline, the rigour you bring to every submission - that becomes the reference point for what good looks like on the team. Applications you touch don't come back for rework.
• The specifics will be calibrated once you're in the role. The direction won't change.

What You Bring

• You have at least two years of direct experience processing Australian university applications. Not adjacent experience, not general admissions - specifically Australian university portals, StudyLink, and the documentation standards that go with them. You know what a complete application looks like, and more importantly, you know what a problematic one looks like before it becomes a problem.
• You are precise by disposition. The kind of person who notices when something is off - a date that doesn't match, a transcript that's been altered, a document that's missing a page - and who treats that noticing as a core part of the job, not an interruption to it. High-volume environments don't make you sloppy; they make you more systematic.
• You manage your own workload without needing to be chased. You know what's due, what's pending, and what's at risk, and you're the one following up - not waiting to be asked. In a role where timelines are real and consequences are real, that self-direction is not optional.
• You communicate clearly and professionally. When you're coordinating with a university, following up on a pending offer, or flagging an issue to an internal team, you write and speak in a way that reflects well on Kaaiser. The families we serve have placed significant trust in this brand, and every interaction is part of how that trust gets maintained or eroded.
• You're coachable. Kaaiser's systems and standards have been built over three decades, and the right person comes in ready to learn them thoroughly before they start suggesting changes to them. Curiosity and rigour, in that order.
