Job Title: Proposal Specialist

Role Overview
We are seeking a detail‑oriented Proposal Specialist to support Ceres’ U.S. operations by developing high‑quality client‑facing documents. This role focuses on preparing proposals, Statements of Qualifications (SOQs), and RFP/RFQ responses that are clear, compelling, and fully compliant with client requirements.
The Proposal Writer will collaborate closely with proposal managers, subject‑matter experts (SMEs), technical teams, and business development leaders to produce well‑structured content aligned with Ceres’ service standards, brand guidelines, and submission deadlines.
Key Responsibilities
- Develop, write, and edit proposals, SOQs, and RFP/RFQ responses that clearly articulate Ceres’ capabilities, experience, and value proposition.
- Translate technical and operational inputs from SMEs and project teams into concise, client‑focused narratives.
- Ensure all proposal content is compliant with solicitation requirements and aligned with corporate branding guidelines.
- Proofread and edit documents to ensure grammatical accuracy, clarity, consistency, and quality.
- Participate in proposal review cycles and incorporate feedback from proposal managers and key stakeholders.
- Coordinate closely with cross‑functional teams to meet tight and competing deadlines.
- Maintain and update a centralized repository of templates, resumes, project descriptions, and case studies for reuse.
- Support formatting and visual presentation using Microsoft Word, PowerPoint, and Adobe tools.
- Manage document version control and coordinate final submissions.
- Assist with presentations, capability statements, and marketing collateral as required.
Required Qualifications
- Experience: 4–6 years of experience in proposal writing, data entry, content development, or technical writing. Prior experience in engineering, construction, disaster recovery, environmental services, or infrastructure is preferred.
- Education: Bachelor’s degree in English, Journalism, Communications, Business, or a related field.
- Skills: Strong ability to draft persuasive, well‑structured, and compliant proposal content; excellent written and verbal communication skills with high attention to detail; proficiency in Microsoft Word, PowerPoint, and Excel; familiarity with Adobe tools is an advantage; strong time‑management skills with the ability to handle multiple proposals simultaneously under tight deadlines.
Preferred Qualifications
- Experience supporting U.S. government proposals, RFPs, RFQs, and compliance‑driven documentation.
- Familiarity with APMP (Association of Proposal Management Professionals) best practices.
- Exposure to content management systems or proposal automation tools.
- Prior experience working in a Global Capability Centre (GCC) or cross‑functional, global team environment.
