Context

UNV assignment is part of UNICEF’s effort at encouraging a young workforce and building their capacity to contribute to results for children in their areas of interest. Under the close supervision and guidance of the Senior People & Culture Associate, the UNV – People & Culture Associate provides administrative, procedural, and operational support and assistance to the efficient implementation of Human Resources functions, particularly learning and development ensuring accurate and timely delivery that is following UNICEF HR rules and regulations.

Support in learning & capacity development
  • Supports in designing a calendarizing of learning and development events online and to ensure timely updates.
  • Assists People & Culture (P&C) team in organizing and conducting courses, workshops and events by preparing and organizing the distribution of materials for participants, ensuring availability of training venues and required equipment and supplies, while providing logistical and secretarial support at workshops and events as necessary.
  • Support in drafting, and reviewing of terms of references for various learning and development initiatives and events.
  • Processes contracts for institutions providing training and learning activities, ensuring compliance with UNICEF rules and regulations.
  • Assists in coordination of learning and development activities for UNVs, interns, and consultants.
  • Design flyers, posters and other communication material for mobilization of learning and development activities.
  • Support in documentation of success stories, case studies, and lessons learned.
  • Supports in planning and conducting knowledge sharing sessions for P&C.
Support in data analytics and internal communication (knowledge management)
  • Compiles and analyzes information and data related to staff for reports on learning trends.
  • Analyzes, research, verifies, and compiles data which facilitates the preparation of learning and development and other workforce planning reports.
  • Support the development and implementation of data collection systems to optimize data quality.
  • Contribute to development and dissemination of newsletter and documentation of meetings.
  • Support in timely updating of P&C SharePoint pages.
Support in budget management
  • Support in regular monitoring of P&C budget and provide regular updates to the P&C to make informed decisions.
Other Tasks
  • Assists in tracking, monitoring and analyzing UNV recruitment.
  • Assists in preparation of onboarding package and schedule as well as orientation for new hires.
  • Works with Senior HR Associate to update the buddy system and support assignment of buddies for new hires.
  • Any other related tasks may be required or assigned by the supervisor.
Additional Volunteer Requirements
  • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day).
  • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country.
  • Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities.
  • Contribute articles/write-ups on field experiences and submit them for UNV publications/web-sites, newsletters, press releases, etc.
  • Assist with the UNV Buddy Programme for newly-arrived UN Volunteers.
  • Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.
Languages
  • English: Fluent (Desirable)
  • Hindi: Working knowledge (Desirable)
Required education level
  • Bachelor's degree in Human Resources Management, Business Administration or related areas. Professional certification in Human Resources is an added advantage.
Skills and experience
  • Minimum 03 years of professional work experience at the national and/or international level in Human Resources; experience working in the UN or other international development organization is an asset.
  • Strong oral and written skills; good drafting, formulation, and reporting skills.
  • Accuracy and professionalism in document production, editing and publishing.
  • Proven ability to work with data, and visualization tools.
  • Excellent interpersonal skills; culturally and socially sensitive.
  • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment.
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines.
  • Have affinity with or interest in UNICEF, volunteerism as a mechanism for durable development, and the UN System.
  • Previous experience as a volunteer and/or experience of another culture, (i.e. studies, volunteer work, internship) would be highly regarded.
