INSIDEA is seeking an AI Operations Specialist for fully remote work, coordinating AI Ops tasks, tooling exploration, and automation development. You will own end‑to‑end cycles, drive workflow improvements, and collaborate with digital marketing and HubSpot teams to deliver reliable operations.

The role emphasizes proactive problem solving, rapid learning of new AI tools, and clear communication with clients and internal stakeholders to ensure smooth project delivery in a global remote setting.

Qualifications

• Experience in operations, project coordination or process improvement is advantageous.
• Familiarity with AI tools and automation platforms such as Make, Zapier or ChatGPT is beneficial.
• Ability to learn new tools quickly and work independently with little guidance.
• Strong problem solving, analytical thinking and multi‑tasking abilities.

Responsibilities

• Collaborate with internal teams (digital marketing and HubSpot) to ensure smooth operations.
• Communicate updates to clients and stakeholders and explain solutions clearly.
• Track performance, flag risks, and drive corrective actions.
• Maintain SOPs, dashboards, and status reports for transparency.
• Identify bottlenecks and implement scalable workflow improvements.

Job Description:

We are looking for an AI Operations Specialist who can efficiently manage day-to-day AI Ops activities, streamline workflows, and ensure smooth cross-team coordination. The ideal candidate should be resourceful, proactive, and interested in exploring AI tools and implementing practical solutions. They should be able to take ownership of tasks end-to-end, solve problems independently, and learn new tools quickly. Prior AI experience is a plus, but the right mindset and willingness to learn matter more.

Job Responsibilities:

• Manage and execute ongoing AI Ops tasks with clear accountability and timely delivery.
• Research, explore, and experiment with AI tools to identify opportunities for improving workflows and solving operational challenges.
• Build, optimize, and maintain automation workflows, pipelines, and task queues.
• Own end-to-end operational cycles: requirement gathering, task execution, QA checks, delivery, and reporting.
• Work closely with internal teams (digital marketing and HubSpot teams) to ensure smooth operations and collaboration.
• Communicate confidently with clients and internal stakeholders to understand their needs, share updates, and explain solutions clearly.
• Track process performance, proactively flag risks or delays, and drive corrective actions.
• Maintain SOPs, documentation, dashboards, and status reports for transparency and process consistency.
• Identify bottlenecks, recommend improvements, and implement scalable workflow enhancements.

Preferred Experience:

• Experience in operations, project coordination, process improvement, or a similar role is an advantage.
• Familiarity with AI tools, automation platforms, or productivity tools such as Make, ChatGPT, Claude, or Zapier is beneficial.
• Ability to research unfamiliar topics, learn new tools independently, and figure out practical solutions to challenges.
• Strong problem-solving skills, analytical thinking, and the ability to manage multiple tasks and meet deadlines.
• Excellent communication skills and confidence in interacting with clients and cross-functional teams.
• A proactive, self-driven approach with a strong sense of ownership and accountability.

Preferred Qualifications:

• A strong interest in AI, emerging technologies, and exploring new ways to improve processes.
• Exposure to AI models, LLM-based workflows, or customer-facing AI tools.
