About the Job
As an Operations Specialist, your mission is to drive operational excellence through scalable processes, data-driven decision-making, and effective cross-functional coordination. You will serve as a key operational partner to the Vendasta Services leadership team—managing reporting, supporting workforce planning, and maintaining financial and working resource data.
In this role, you will take ownership of projects from concept to completion. Through the strategic use of automation and AI-enhanced tools, you will build scalable systems that improve visibility, consistency, and operational efficiency across the entire division.
Note: This role supports our global operations and requires working the night shift from 7:30 PM to 4:30 AM IST out of our Chennai office.
Your Impact
- Optimize & Operationalize: Develop, maintain, and continuously improve operational workflows, SOPs, process maps, and playbooks. Conduct operational audits to identify inefficiencies and implementation opportunities for AI-enhanced workflows and automation tools.
- Workflow Efficiency & Collaboration: Manage and assist with financial operations, including budget tracking, expense management, forecasting, and cost analysis. Support special strategic projects involving research, data analysis, and milestone tracking to ensure accountability across stakeholders.
- Strategic Insights & Reporting: Leverage AI tools to improve reporting speed and accuracy. Build and maintain executive-ready dashboards, scorecards, and KPI tracking mechanisms (using tools like Looker Studio) to provide clear visibility into operational and financial trends.
- Division Administration: Support departmental management with high-level administration, including meeting agenda preparation, action-item tracking, follow-ups, and offsite planning.
- Process Enablement: Update training documentation to support the rollout of new tools, reduce user friction, and ensure consistency, accuracy, and compliance across all departmental operations.
What you bring to the table
- Experience: 2–4 years of hands‑on experience in operations, business operations, project coordination, or a related field—ideally within the SaaS or technology sectors.
- Education: Bachelor's or Master’s degree in Business Administration, Finance, Operations Management, or a related field.
- Financial Acumen: Strong background in financial operations, budget tracking, expense management, and resource planning.
- Technical & Data Skills: Proficiency with Google Workspace (Sheets/Slides), Jira, Confluence, and reporting/dashboard tools like Looker Studio. Strong capability in workflow design and data synthesis.
- AI & Automation Savvy: Proven experience using AI tools to improve productivity. Familiarity with prompt engineering, automation tools, and creating AI-assisted workflows or reporting solutions.
- Leadership & Communication: Exceptional written and presentation skills. Ability to communicate operational updates clearly to both technical and non‑technical stakeholders, with a proven ability to manage up, down, and across teams.
