  • Strong written and verbal communication across candidates, staff, vendors, and partners.
  • Familiarity with HRIS platforms like BambooHR is a plus.

Title: Operations Associate/ Senior Operations Associate, India

Location: India (remote). Candidates must have existing authorization to work in India; PxD is unable to sponsor visas for this role.

Salary: Salary will be competitive and commensurate with the candidate's skills, experience, and the local labor market in India

About The Role:

PxD is hiring an Operations Associate/ Senior Operations Associate to support our growing team in India by managing key operational functions, including recruitment coordination, onboarding, travel logistics, and event management. This is a hands‑on, detail‑oriented role for someone who thrives in dynamic, fast‑paced environments and is energized by the challenge of keeping multiple moving pieces organized as the organization scales.

You will coordinate recruitment logistics, support new hires through onboarding, conduct reference checks, manage travel arrangements, and organize events and workshops — working closely with PxD's teams, vendors, and service providers to keep operations efficient and responsive as we grow.

The ideal candidate brings strong organizational skills, attention to detail, and the ability to juggle multiple priorities without letting anything slip. You'll balance structure with flexibility, and bring strong communication skills to work effectively across internal teams, candidates, and external partners.

We're hiring for this role at either the Operations Associate or Senior Operations Associate level. The specific level will be determined based on the candidate's years of experience, demonstrated seniority, and scope of past responsibilities.

Responsibilities:

This role will evolve; below are the key initial areas of focus.

  • Coordinate recruitment - scheduling interviews, managing candidate communications, and liaising with hiring managers for a smooth, timely process.
  • Coordinate onboarding for new hires, including documentation, equipment/access setup, and general support.
  • Manage staff travel logistics, including bookings, itineraries, visas/permits, and on-the-ground arrangements for field and program travel.
  • Support planning and execution of events (workshops, donor meetings, offsites), including venue, vendor, and on-site logistics.
  • Source and manage local vendors and service providers, ensuring contracts and agreements meet local regulatory requirements.
  • Oversee office/facilities needs and internal tools administration (access, licenses, subscriptions, equipment).
  • Maintain and improve operational systems and documentation (trackers, checklists, logs, vendor agreements, program files) to increase efficiency as the program grows.
  • Flag operational challenges and loop in the right internal teams or advisors to resolve them.
  • Act as a point of coordination between candidates, new hires, consultants, partners, and cross-functional teams, handling sensitive information with discretion.
  • Contribute to process improvements as PxD's India operations mature.
  • Perform other duties as assigned, in line with the evolving needs of the program.

What You'll Bring:

  • Bachelor's degree, diploma, or equivalent professional experience, ideally in business administration, human resources, or a related field.
  • Proven experience in operations, HR‑adjacent, or administrative roles.
  • Good working knowledge of administrative and operational practices in an Indian context, including familiarity with local vendor, travel, and regulatory/compliance norms (e.g., visas, contracts).
  • Excellent organizational skills, with the ability to manage multiple tasks, timelines, and stakeholder relationships simultaneously.
  • Dynamic and self‑directed, with the ability to shift quickly between priorities and take initiative without needing extensive direction.
  • Strong written and verbal communication skills, with the ability to coordinate confidently across candidates, staff, vendors, and partners.
  • Comfortable using operations, HR, and project management tools (e.g., applicant tracking systems, scheduling platforms, travel booking tools); familiarity with tools like BambooHR or similar HRIS platforms is a plus.
  • Adaptable and resilient, comfortable in a fast‑paced, evolving environment, and willing to "roll up sleeves" across operational, administrative, and logistical functions.
  • Demonstrated ability to handle confidential and sensitive information — including HR, vendor, and program‑related data — with discretion and professionalism.
  • Proven ability to identify and implement operational improvements, streamline processes, and build scalable systems (e.g., trackers, checklists, documentation) as an organization grows.
