The HR Onboarding Executive will be responsible for managing the complete onboarding lifecycle, ensuring a smooth, structured, and positive experience for all new employees. The role includes documentation handling, system approvals, data accuracy, induction coordination, vendor payout processing, and effective communication with circle- and center-level stakeholders.
On Vendor Payroll
Key Responsibilities
- Documentation & System Management
- Review, onboarding documents submitted through Darwinbox.
- Upload and maintain all verified documents in the EDCOS repository.
- Ensure accuracy, compliance, and timely completion of all documentation processes.
- Ensure timely closure of Base BGV (Background Verification) for all joiners before their joining date to facilitate smooth onboarding.
- Tracker & Data Management
- Maintain and update onboarding trackers, joining status reports, and follow-up sheets.
- Ensure 100% data accuracy for audits, reporting, and internal dashboards.
- Use Excel extensively for data management, reporting, and tracker maintenance.
- Communicate with upcoming joiners on joining formalities, document requirements, and induction schedules.
- Provide end-to-end support throughout the pre-boarding and onboarding processes.
- Stakeholder Coordination
- Collaborate with internal teams such as HRBPs, Talent Acquisition, IT/Admin, and Payroll for onboarding activities.
- Coordinate with external partners for background verification and documentation support.
- Manage onboarding processes at both circle level and center level to ensure seamless execution.
- Induction & Engagement Activities
- Schedule and coordinate induction sessions, department interactions, and orientation programs.
- Ensure availability of facilitators, resources, and induction material for new joiners.
- Ensure and manage attendance of all mandatory induction sessions and track completion status.
- Vendor & Payout Management
- Raise PR (Purchase Requests) for vendor payouts related to onboarding or induction activities.
- Coordinate with finance and procurement for timely processing of vendor payments.
Skills & Competencies
- Advanced Excel proficiency is a must (VLOOKUP, Pivot Tables, formatting, data management).
- Strong communication skills both verbal and written.
- Excellent coordination and follow-up abilities.
- High attention to detail and strong documentation accuracy.
- Working knowledge of HRMS platforms (preferably Darwinbox).
- Ability to multitask and work in a fast-paced environment.
Qualifications
- Bachelors degree in Human Resources or a related field.
- 13 years of experience in HR Operations or Onboarding (preferred).
- Prior experience in documentation, onboarding, or BGV processes will be an advantage.
