Role & responsibilities
Export Operations
- Manage with production, sales, and logistics teams to ensure timely dispatch of export shipments.
- Prepare, verify, and manage all export documentation invoices, packing lists, shipping bills, bills of lading, certificates of origin, etc.
- Liaise with freight forwarders, shipping lines, and transporters to finalize shipping schedules and negotiate freight rates.
- Monitor and track shipments; update customers on dispatch and delivery status.
- Handle Letter of Credit (LC) documentation and coordinate with banks for timely submission and negotiation.
- Ensure full compliance with DGFT, Customs, and international trade regulations.
- Manage export incentive claims (e.g., RoDTEP, RoSCTL, EPCG) and maintain records for audit and verification.
- Evaluate freight quotes, optimize logistics costs, and maintain freight benchmarking data.
- Prepare and submit periodic MIS reports on shipments, freight costs, and delivery performance.
Import Operations
- Manage overseas suppliers, CHA, and freight forwarders for timely inbound shipments.
- Verify import documentation invoices, packing lists, bills of entry, bills of lading, COO, insurance certificates, etc.
- Oversee customs clearance and coordinate delivery to the plant or warehouse.
- Track import duties/taxes and coordinate with Finance for duty payments.
- Resolve shipment, clearance, or logistics-related issues proactively.
- Ensure adherence to DGFT, Customs, and other regulatory requirements.
- Maintain import documentation and compliance records for audits.
- Evaluate and benchmark freight rates; support vendor performance review and logistics cost optimization.
- Collaborate with Purchase, Production, Accounts, and Sales teams for smooth import flow.
Generate and present MIS reports on import status, freight expenses, and vendor performance.
Preferred candidate profile
- Strong knowledge of export-import documentation, INCOTERMS, and international trade practices.
- Sound understanding of customs clearance procedures, DGFT policies, and EXIM regulatory compliance.
- Proven ability in negotiation, coordination, and vendor management with CHA, shipping lines, and freight forwarders.
- Proficiency in MS Excel, ERP systems, and professional communication tools.
High level of accuracy, analytical ability, and commitment to meeting deadlines.
