Job Title: Health and Safety Corrdinator
Purpose of the role
- Real Estate Services (RES) comprises a set of outcome focused service pillars including Workspace Experience & Operations, Construction Management, Portfolio Management, ESG and Workplace Safety
- The Health and Safety Coordinator role will support the Workplace Safety pillar and report to Global Head of Workplace Safety and their execution of the following duties will be integral to the successful operation of the team:
- Support with the active management of financial plans, forecasts, and actuals working with Finance
- Leading and/or supporting with the active management of workplace safety controls, Mandatory Procedures and supporting Standards and guidance.
- Support WELL Certification and Health Safety Rating programme across Regions and Markets and work with colleagues and appointed suppliers to deliver the programme.
- Support Global Accessibility and Inclusion assessment programme across Regions and Markets and work with colleagues and appointed suppliers to deliver the programme.
- Support communications strategy and events, including Annual Global Health and Safety Campaign, to raise the profile of Workplace Safety Management across HSBC.
- Ensure that Global Businesses and Global Functions are adhering to compliance and regulatory requirements
- Assist with the monthly review of performance metrics and scorecards, working with owners to action changes required to achieve targets
- Support project work and initiatives across the wider team agenda
- Ensure that senior management is fully prepared and briefed for key governance meetings and committees including senior executive and board forums, supplier and customer meetings, as well as regulator engagements. This includes providing strategic insight and support for any presentations, papers, briefing notes and follow up on key actions.
- Proactively identify emerging risks and support with resolving issues
- Provide administration services for key meetings; this may include undertaking secretariat duties, managing actions and planning external events and off-sites
- Manage Workplace Safety information sources, including Sharepoint and Knowledge Base content.
- Perform TPEM activities for Workplace Safety engagements.
- Build and maintain excellent working relationships with suppliers supporting Workplace Safety activities

Business
Strategy:
- Have a strong understanding of Workplace Safety purpose, strategy, deliverables and value
- Work in close collaboration with senior management and Regional and Market RES teams to support the execution of the strategy
- Provide support to Senior Managers with key strategic analysis and insights.
Execution:
- Proactively monitor and manage the execution of the Workplace Safety strategy in accordance with the principles, policy, mandatory procedures and standards
- Proactively manage risks, issues, dependencies and controls; escalate and provide recommendations for action as directed by Global Head of Workplace Safety.
- Prepare management reports, presentations and papers to provide periodic updates for the Global Head of Workplace Safety and wider Group COO community as required.
Governance & Documentation:
- Ensure alignment to the governance team is developed, implemented and managed along with driving and supporting the creation of robust documentation and briefings.
- Tracking performance against Key Performance Indicators (KPIs), project milestones, FRP, portfolio and risk management reports.
Customers and Stakeholders
External Stakeholders:
- Engage with and support external parties (e.g. partners and suppliers) as needed – either in response to queries, Workplace Safety accidents and incidents, assurance reviews or product use and development
Internal Stakeholders:
- Engage with stakeholders across Regions and Markets to support delivery of Workplace Safety objectives, ensure all regulatory and legal commitments are met and provide proactive issue management and support.
- Engage with stakeholders across Regions and Markets to enable successful delivery of projects / initiatives / events.
- Develop strong relationships with Global Businesses, Group Functions and Group COO stakeholders to support the delivery of the Workplace Safety strategy.

Operational Effectiveness & Control
- Ensure appropriate governance is implemented along with robust documentation and supporting management controls
- Provide documentation support for the governance meetings attended by the Global Head of Workplace Safety
- Reassess continually the operational risks associated with the role and inherent in the business, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures and practices, management restructurings, and the impact of new technology and services
- Adhere to all relevant procedures, keeping appropriate records and, where appropriate, by the timely implementation of internal and external audit points, including issues raised by external regulators.
To be successful you will:
- Educated to graduate degree level in a relevant field or associated relevant business experience.
- Educated as minimum to NEBOSH International General Certificate in Occupational Health and Safety level (or equivalent).
- Has experience working with recognised international safety management standards, e.g. OHSAS 18001, ISO45001
- Strong interpersonal skills, coupled with the ability to succeed within a matrix management structure and build and maintain regional team relationships.
- Significant analytical and project management skills and a capacity to present analytical information in understandable reports and business plans is essential
- Ability to engage with team, colleagues and business partners collaboratively to deliver at pace
- Ability to work well under pressure, demonstrate flexibility and adapt to rapidly changing priorities and tasks that are potentially highly restricted in nature, unpredictable, wide ranging, complex and time-sensitive
- Excellent organisational, verbal and written communication skills;
- Excellent stakeholder management, relationship management, collaboration and influencing skills
- Proven ability to articulate complex issues concisely and in simple language to support problem analysis
- Proven experience in financial budgeting, strategic planning, communication and people management processes
- Strong understanding of HSBC Group or a similar Global organisation and their strategy, structures and processes
